Job Title: Project Accounting Coordinator

Job Description

As a Project Accounting Coordinator, you will be responsible for preparing fee proposal templates, drafting contracts and subcontracts for review, and ensuring that projects adhere to contract language and requirements. You will play a crucial role in developing Work Breakdown Structures (WBS) and Project Authorization forms, including budgets and client invoicing requirements. You will support project managers with the processing of subconsultant invoices and monitor project financials, including variance, revenue, budgets, and Work in Progress (WIP).

Responsibilities

Prepare fee proposal templates, draft contracts, and subcontracts for review.

Ensure projects adhere to contract language and requirements.

Issue and track project amendment documentation and coordinate for review.

Develop WBS and Project Authorization forms including budgets and client invoicing requirements.

Assist project managers with processing subconsultant invoices.

Monitor project financials including variance, revenue, budgets, and WIP.

Follow up on revenue variance issues and participate in revenue recovery.

Serve as a liaison between internal staff, suppliers, and clients.

Conduct pre-bill reviews with Project Managers.

Participate in monthly project review meetings and collaborate with Business Operations teams.

Assist Business Operations with analysis of project budget performance and provide recommendations to improve financial outcomes.

Essential Skills

3+ years of experience entering invoices.

3+ years of experience drafting contracts and subcontracts.

3+ years of experience preparing proposal templates.

3+ years of change orders experience.

Experience working for an engineering or architectural firm with revenue over $150 million.

Ability to create pivot tables and Vlookups in Excel.

Proficient within Deltek, BST, or Oracle.

Additional Skills & Qualifications

Experience with Deltek Vantagepoint.

Experience with ERP implementation, preferably Vantagepoint.

Work Environment

This is a fully remote position, but candidates must be located in the Central or Eastern Time Zone. You will be part of a team with a great company culture where numerous placements have been made, all of whom are satisfied with their roles.

Pay and Benefits

The pay range for this position is $32.00 - $38.46/hr.
