Job Details The Executive Assistant, Population Health, plays a pivotal role in supporting the executive leadership team and ensuring the efficient operation of the department. This individual will oversee strategic initiatives, assist in daily operations, manage cross-departmental projects, and liaise between management and key stakeholders. The Executive Assistant will act as a strategic partner to the Population Health Executive Team and other senior leaders, ensuring the alignment of strategic and operational goals with organizational vision and values. The Executive Assistant position directly supports the VP, Value Based Care Strategy, the VP, Care Management Operations, and the SVP, Population Health, enabling the team to execute on strategies and continue to move the department forward on system and IPA initiatives. DUTIES/RESPONSIBILITIES: Prioritize and manage executive schedules and commitments. This includes scheduling meetings and managing executives' day, week and month ahead through review of double bookings, travel needs, meeting preparation, time blocking, time for meals, and organizing around time off and other key priorities Oversee and manage the day-to-day operations of various healthcare departments to ensure smooth coordination Identify opportunities to streamline processes and improve operational efficiencies across the organization Facilitate the resolution of interdepartmental issues and enhance communication between teams Coordinate and track the status of ongoing initiatives, ensuring alignment with deadlines, budgets, and resource allocations Supervise project teams to ensure that projects are executed effectively and meet desired outcomes Manage internal communication to ensure staff is kept informed about organizational changes, priorities, and initiatives Organize and prepare for meetings, including creating and/or gathering documents, attending to logistics of meetings, and attending for minutes keeping as requested Attend meetings on behalf of the Executive team, ensuring the vision and mission of the team is being represented and that work can move forward in the absence of leadership to enable a broader span of control for the Executive Team Support organizational change initiatives by helping to implement new technologies, processes, or policies. Identify opportunities for more efficient processes and work to implement these alongside relevant team members Answer and respond timely to phone calls and emails, communicating messages and information to the executives as applicable and working to address the concerns or topics of incoming messages independently as able Coordinate travel arrangements and working space when offsite or not working in primary location Manage and submit expense reports Draft, review, and send communications on behalf of the executives Prepare key working documents including but not limited to, creation of workflow documents, preparation of slide decks, documentation of process documents, etc. Support the Population Health Team with hardware, software, access, meetings, and other correspondence that facilitates their work including opening and tracking tickets with DTS for support Process all new hire requirements and support new hire coordination, ensuring new teammates are acclimated to the team and to Catholic Health and that they have all of the necessary tools to begin working productively Process requisitions for purchase orders and other approval requirements including finding ways to improve process and ensure orders meet budget requirements Maintain key information that supports Population Health operations such as staff listings, email lists, Constant Contact lists, Board and Committee lists, key Catholic Health Executive and support staff contacts, etc. Organize events at the direction of Population Health Leadership team including food orders, material preparation, logistic coordination, invitations and correspondence and overall meeting flow Collaborate and communicate with Catholic Health teams across functions and departments to ensure up to date information is shared appropriately Be available, within reasonable response time, for the working hours of the Executive Team Performs other duties as required/assigned POSITION REQUIREMENTS AND QUALIFICATIONS: Education: A bachelor's degree in Healthcare Administration, Business Administration, or a related field. Experience: Minimum of 5 years in a healthcare organization Proven track record in planning, operational management, and project oversight Knowledge of healthcare regulations, compliance requirements, and industry standards. Skills: Strong problem-solving and decision-making abilities Excellent communication, interpersonal, and leadership skills Ability to analyze data and present findings in a clear, actionable manner Proven ability to manage multiple projects and tasks simultaneously Expertise in healthcare management software and tools (e.g., Epic, Salesforce) and in Microsoft Office tools Additional Qualities: Ability to thrive in a fast-paced, dynamic healthcare environment A strong sense of ethics and integrity Comfortable working in both a collaborative team environment and independently Adaptability and flexibility in dealing with changing priorities Salary Range USD $90,000.00 - USD $95,000.00 /Yr. This range serves as a good faith estimate and actual pay will encompass a number of factors, including a candidate's qualifications, skills, competencies and experience. The salary range or rate listed does not include any bonuses/incentive, or other forms of compensation that may be applicable to this job and it does not include the value of benefits.
