We are looking for a detail-oriented Administrative Program Coordinator to join our team located in the Greater Philadelphia Region. In this long-term Administrative Program Coordinator contract position, you will play a vital role in managing daily operations and ensuring the smooth execution of administrative tasks. The ideal Administrative Program Coordinator candidate will demonstrate exceptional organizational skills, maintain confidentiality, and thrive in a fast-paced environment.

What you get to do every single day:

Process a high volume of student document requests, including Letters of Good Standing and Certificates of Malpractice, while ensuring compliance with partner institution standards.

Assist in completing elective student applications during peak periods, managing over 150 applications efficiently.

Coordinate the evaluation process by capturing and inputting student evaluations into designated systems.

Provide support for exam proctoring and ensure smooth execution of testing procedures.

Prepare and distribute monthly student rosters to affiliated institutions in a timely manner.

Manage operations of student application platforms, creating resources to assist students in navigating systems and program logistics.

Monitor daily submissions on application platforms, address incomplete portfolios, and verify student credentials.

Facilitate the distribution of essential student documents, including health records, insurance forms, and credentials, to relevant organizations and supervisors.

Draft and oversee correspondence, reports, memoranda, and technical materials, including composing letters and managing mail routing.

Perform additional administrative duties as assigned to support program operations.

Requirements

Other requirements for the Administrative Program Coordinator position include and are not limited to:

Demonstrated experience in a high-demand administrative role, showcasing excellent organizational and multitasking abilities.

Proficiency in Microsoft Suite and Google Workspace to manage tasks and communications effectively.

Familiarity with platforms such as Banner, Blackboard, and E-Value is preferred but not required.

Strong skills in calendar management, scheduling, and project coordination.

Ability to handle sensitive information with discretion and maintain strict confidentiality.

Exceptional communication skills, both written and verbal, to interact with stakeholders and students.

Proven ability to work independently and collaboratively in a fast-paced environment.

Experience in answering inbound calls and providing administrative assistance to support program needs.
