The Administrative Assistant II - FMI position exists to perform highly diversified administrative tasks. Utilizes an advanced knowledge of organization and workflow related to the area of responsibility. Employs working knowledge of computer systems to research, collect, analyze, and summarize complex data into various reports and presentations. Initiates and manages all scheduling and calendar responsibilities for assigned management. Applies considerable initiative and independent judgment with the majority of duties being executed with only general direction.
Essential Duties/Responsibilities:
Prepares materials/resources and paperwork for intensives
Prepares client files and oversees distribution to therapists prior to the clients arriving
Provides clients with information needed for submission for insurance reimbursement
Compiles post-intensive surveys and communicates with Intensive Alumni regarding their experience; coordinates follow-up phone appointments
Provides the Hospitality Team with the needed information to prepare meals for clients
Creates, maintains, updates, and organizes security of office and computer files containing correspondence, records, etc.
Manages the availability of the therapists and provides information to the Intensive Registrars
Prepares diverse letters/memos; using independent judgment, composes non-routine correspondence requiring a comprehensive knowledge of the methods, procedures, and policies within the organization; answers a variety of correspondence independently
Places, answers, screens, and refers telephone calls; takes messages and responds to diversified inquiries determining from experience and training limitations on the extent and @type of information which may be provided; takes independent action to acquire needed information for appropriate response
Operates and inputs data into computer terminals utilizing existing software; performs computer inquiries and generates computer reports
Receives, distributes, and screens incoming mail for appropriate distribution; categorizes/prioritizes the responses needed; takes initiative to prepare responses for signature and to assemble background information from many sources; summarizes lengthy correspondence, highlighting key sentences and topics; follows-up to ensure that proper and timely action is taken
Updates supervisor's calendar, ensuring optimum time management; resolves any questions concerning appointments
Arranges meetings, prepares meeting agendas, and communicates meeting schedules
Researches information needed for various projects
Prepares and ships materials for marriage conferences
Other Duties/Responsibilities:
Assumes responsibility for a variety of administrative duties, planning the flow of work so that assignments will be completed on time and that human and monetary resources will be utilized efficiently; may act as a liaison between supervisor and others to coordinate activities, projects, etc.
Orders and inventories forms and office supplies; maintains machine supplies
Performs other related duties as assigned

Specialized training and education equivalent to two years of college
3-5 years of directly related experience

Proficient in Microsoft Word, Excel, and PowerPoint

Pay Range: $16.00 to $18.25 /hr.
