Job Duties and Other Information
Job Duties:
Administrative Coordinator 3 reports to the Chief Disbursement Officer and is responsible for all administrative support and functional operations of the Disbursement and General Accounting Divisions. The organizational units include the functional areas of Accounting, General Services, Payroll, and Check Release. The functional areas employ over 30 full-time employees, plus approximately 1-5 part-time and seasonal employees.
Responsible for answering and routing incoming phone calls, taking messages, deals tactfully with parties in emergency or delicate situations. Interacts with the general public and directs the flow of traffic to the proper areas. Performs additional duties for General Accounting such as EPAF preparation for new employ hires and position upgrades and directing visitors and courier service.
Serves and coordinates data input into the System for the Disbursement Officer Associate Comptroller General Accounting, including preparation of hiring documents. Maintains clients and employee's confidence by protecting and safeguarding confidential information. Monitor and maintain Comptroller's Office signatures, to include the Associate Vice Chancellor for Financial Operations signature, for all full time employees exit forms from the University due to resignations, transfers, and terminations according to State and Federal guidelines. Prepares Web time approval for new employee's promotions. and terminations and forward to Human Resource's for further review.
Assist all work-study student, monitors time and attendance to ensure accuracy in reporting student work study.
Assist the Chief Disbursement Officer on administrative matters relative to policies and procedures that govern the Disbursements Sections activities. Research data and information necessary for the evaluation development and modification of policies and procedures applicable to the various support units. Responds to inquiries and requests for information both verbally and in writing concerning the functions of the support units based on interpretations of laws, rules and regulations and other requirements.
Prepare Performance Evaluation System (PES) annually. Obtain signatures from management and forward to Human Resources.
Compiles information to prepare requisitions for the procurement of goods and services necessary to support the administrative units.
Maintains databases for all checks received by Southern University. Serves as front-end coordinator to ensure information concerning funds received is disseminated to the appropriate functional areas to facilitate both timely and accurate posting of transactions and depositing of checks.
All incoming mail for the office is opened and distributed to the rightful persons.
Scan all purchase orders, invoices, and returned checks to all areas for review.
Stamp approval on all Purchase Requisitions (PUR) and forward to Accounts Payable section for file maintenance.
Request applications for Bank Mobile and assist all students with confirmation on their Bank Mobile Account. Assist student with Bank Mobile and refund accounts as needed. Order and reorder Bank Mobile cards. Send personal codes updating address and other errors within the System.
