Accounts Payable Specialist - Part Time

We are looking for an experienced Accounts Payable Specialist to join our team in Rancho Santa Fe, California. This is a part-time Contract-to-permanent position that offers a dynamic work environment and the opportunity to contribute to a variety of finance and accounting tasks. The ideal candidate will have a strong background in accounts payable, vendor management, and exposure to general ledger systems, with the ability to work independently and collaboratively.

Responsibilities:

Manage accounts payable processes, including coding, batching, and matching invoices to purchase orders.

Collaborate with vendors to resolve invoice discrepancies and provide backup documentation for vendor files.

Prepare weekly check runs and ensure accurate payment processing for a diverse portfolio of vendors.

Utilize the SpringBrook system to input and track financial data, ensuring compliance with organizational standards.

Process employee reimbursements for petty cash, travel expenses, and other related items.

Assist in payroll preparation for 50 employees, including auditing timecards and managing deductions.

Calculate overtime and shift differentials while maintaining accurate payroll records.

Ensure compliance with pension contributions, healthcare deductions, and 457/401k plans.

Support finance team during month-end and year-end processes as needed.

Maintain attention to detail and accuracy in all financial transactions.

Requirements - Minimum of 2 years of experience in accounts payable, payroll, or related roles.

Proficiency in vendor management and resolving invoice discrepancies.

Familiarity with general ledger systems and requisition processing.

Experience using financial software, preferably SpringBrook or similar systems.

Strong attention to detail and organizational skills.

Ability to calculate payroll differentials and manage complex deductions.

Undergraduate degree in accounting, finance, or a related field preferred.

Proficiency in Microsoft Excel is a plus.
