Position Summary
Our Behavioral Health Division Director is looking for an Administrative Assistant to help with all the moving pieces of one of the largest divisions in the county. This person will perform a wide variety of complex administrative and secretarial activities to support the Behavioral Health Division Director. Act as a confidential assistant to Behavioral Health Division Director.
This position also involves providing administrative support to the Behavioral Health Division Director in day-to-day operations as assigned; providing valuable assistance to advisory boards as assigned; and managing the coordination of grants.
$26.70 - $35.91 (per hour/annually)

Essential Functions/Major Responsibilities
GENERAL OFFICE:
Coordinate and oversee daily office activities.
Receive and process departmental mail and deliveries.
Perform general office duties such as filing and preparing correspondence.
Manage the office supply inventory and audio-visual equipment.
Maintain confidentiality of accessible information.
MANAGEMENT SUPPORT:
Schedule appointments for Behavioral Health Division Director.
Secure accommodations and travel arrangements.
Provide administrative support to Behavioral Health Division Director.
Prepare agendas, minutes, meeting materials for Advisory Committees, act as support to these groups.
Work with the Behavioral Health Division Director to update policies and procedures.
CUSTOMER SERVICE:
Provide fast, efficient, and friendly service to the public by phone, email and in person.
Communicate professionally with staff and the public.
PERSONNEL:
Support staff as needed.
GRANTS:
Assist and coordinate OHA, IHN-CCO, and other compliance audits, as assigned.
Prepare reports and follow-up for grants, and contracts.
Submit reports on monthly, quarterly and/or annual basis to granters, such as State OHA and IHN.
Coordinate and assist in preparation for regulatory audits as needed.
OTHER FUNCTIONS:
Attend and participate in team meetings, trainings, and activities to further the goals of the organization.
Back up to other administrative staff as needed.
Other duties as assigned by the Behavioral Health Division Director.
Typical Qualifications
Minimum Education Level
High School Diploma / GED
Minimum Experience Level
Four years of progressively responsible experience providing primary management support to a department level administrator.
Driver's License
Oregon Driver's License required within 30 days of hire.
Desirable Qualifications: An associate degree and experience working within a governmental or private non-profit health care system is preferred.

Job Conditions and Physical Demands
Lincoln County offers a comprehensive benefit package including vacation, holiday, and sick leave as well as medical, dental, vision which is paid at 90% by the County and 10% by the employee. Other fully paid benefits include life, AD&D, long-term disability insurance. Other optional insurances are available. A 401K retirement plan is also provided. The County's current contribution rate is 11%.
Regular and Trial Service employees working between 20 and 39 hours per week on a regular basis are eligible for pro-rated employee benefits.
