Sr. Administrative Assistant

Description We are looking for a Sr. Administrative Assistant to join our team in Washington, District of Columbia. This Contract-to-Permanent position will provide high-level administrative and project support to the Chief Financial Officer and the finance department. The role requires a proactive individual who excels at managing workflows, coordinating communication, and ensuring seamless operations within the department.

Responsibilities:

Deliver executive-level administrative support to the Chief Financial Officer, including managing schedules and correspondence.

Prepare detailed presentations, spreadsheets, and reports using advanced technical skills.

Plan, coordinate, and execute specialized projects to support departmental objectives.

Identify opportunities to improve administrative workflows, procedures, and forms, and implement these enhancements.

Act as a liaison with internal staff, executive leadership, board members, and external consultants to maintain strong, detail-oriented relationships.

Handle credit card activity for the department, including monthly reconciliations and expense tracking.

Coordinate scheduling and facilitate communication for Board members, particularly within the Audit and Finance Committees.

Draft and finalize routine correspondence, internal memoranda, and other written communications for review and signature.

Oversee office supply inventory and collaborate with procurement to meet supply needs efficiently.

Conduct research and compile data to support departmental initiatives and decision-making. Requirements - Proven experience in administrative roles, preferably supporting executive leadership.

Strong proficiency in calendar management and scheduling tools.

Expertise in preparing well-structured documents, including presentations and spreadsheets.

Ability to manage travel arrangements and coordinate logistics for meetings and conferences.

Familiarity with financial processes such as credit card reconciliation and purchase requisitions.

Excellent communication skills, both written and verbal, with the ability to interact with diverse stakeholders.

Detail-oriented and highly organized, with the ability to manage multiple tasks simultaneously.
