SCHEDULE: Full-time; Monday through Friday (8:00am-4:30pm) Average of 40 hours/week

SCOPE:

The Executive Assistant will provide essential administrative support to executive leaders. This role involves managing calendars, handling emails, and tracking projects. The position requires anticipating needs, prioritizing tasks, and maintaining confidentiality.

ACCOUNTABILITIES:

Administrative Support:

Manage the executives' calendars, schedule meetings, and prioritize appointments.

Prepare and organize materials for meetings, including agendas, and reports.

Handle incoming communications including phone calls and emails, ensuring timely responses.

Serve as a liaison between the executive and internal/external stakeholders.

Project Management:

Conduct research and prepare briefs to support decision-making.

Track and manage projects to ensure deadlines are met.

Assist with special projects as necessary.

Confidentiality and Discretion:

Handle sensitive information with confidentiality.

Exercise sound judgment in managing priorities and maintaining focus on strategic objectives.

Other Duties:

Prepares and submits expense reports.

Provide high-level service as needed for shareholders and customers.

EDUCATION AND SPECIAL REQUIREMENTS:

10-15 years' work experience with a minimum of five years supporting executive-level leaders

A 4-year college degree is preferred

Proficiency in Microsoft Office

Ability to work independently and as part of a team
