Job Description

We are looking to find a highly qualified administrative professional to serve the Bureau of Iowa College Aid. This person will provide key support for Bureau programs and staff.
Your Responsibilities:
Serve and provide direct administrative support to Bureau staff. Offer reliable support to positions as it relates to professional level planning/development/coordination/evaluation for all program related projects.
Develop tentative plans for various Bureau programs and projects. Apply specific program planning knowledge and general knowledge of public administration, communication and collaboration to task assignments in the planning process.
Monitor and track progress toward program goals and objectives leveraging internal systems, data and information; identify and investigate operational problems and develop recommendations; prepare data summaries and basic drafts of supporting material for inclusion in specific project reports; review materials prepared by other organizations and bureaus for study purposes.
Maintain and update program files, spreadsheets and databases; track and update program policies and operating procedures; carry out the basic aspects of review and evaluation of project proposals; track matching contribution documentation required for programs.
Recognize prominent trends and patterns in the program areas assigned; serve as a member of internal teams and represent Bureau and/or Section(s) at regular and special meetings; gather, analyze and present factual information while participating in discussions and communicate management's position on specific matters; provide accurate and timely advice on matters necessary to implement directives and instructions.
Plan, coordinate, and promote conferences and events; schedule appointments and conferences; arrange out-of-town travel; maintain Bureau calendars.
Handle complaints and requests for information or assistance regarding Bureau operations and programs; apply and interpret rules, policies and regulations; gather background information; and prepare appropriate responses.

Hours: 8:00 A.M. - 4:30 P.M., Monday - Friday at the Grimes Building

Minimum Qualification Requirements
Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:
Graduation from an accredited four-year college or university with a bachelor's degree in any field, and experience equal to one year of full-time administrative support (e.g., screening visitors and callers; opening/distributing mail, typing/proofing documents, letters, and reports; organizing files; scheduling meetings/appointments; arranging travel; processing travel claims; ordering supplies/equipment) or technical support work (e.g., determining budget, personnel, and equipment needs; compiling/evaluating statistical, historical, economic, business, financial or technical program data; interpreting or securing compliance with laws, rules and regulations; reviewing operating records/reports and evaluating their effectiveness).
A total of five years of education and/or full-time experience (as described in number one) where thirty semester hours of accredited college or university course work in any field equals one year of full-time experience.
Current, continuous experience in the state executive branch that includes experience equal to 12 months of full-time work as an Administrative Assistant 1.
