Position Summary: The Administrative Assistant will be responsible for the administrative tasks of the Food and Nutrition Department in support of the Administrative Director in working with compliance, policies, and procedures of the department. The Administrative Assistant will be responsible for collaborating daily with staff, clients, and volunteers. The Administrative Assistant will provide excellent customer service and maintain positive relationships internally and externally, including delivering volunteer orientation meetings.
Schedule: Monday through Friday 7:30am to 3:30pm (some holidays required)
Salary Range: $37,697.25 - $42,409.40
Candidates must have the required qualifications to be considered for the position. The salary offer will be based on the candidate's number of years experience in the exact or comparable position and additional preferred qualifications will be taken into account.

In this position the Admin Assistant will support the Program Manager of the OAC and HDM Manager - to assist with their functions and responsibilities to achieve department goals.
Assist with organizing, reviewing, and submitting invoices for the HDM and the OAC - maintaining monthly expenditures report for the Program Manager.
Work with the Program Managers of the HDM and OAC to ensure a high-quality volunteer experience, focusing on greeting volunteers, hospitality, troubleshooting issues, and delivering volunteer orientations to groups of various sizes and backgrounds.
Monitor inventory of office and program supplies for the HDM and OAC; verify package receipt and stocking of supplies.
Assist with preparation and updating of variety of documents to communicate information in a timely fashion in line with compliance requirements to meet contractual goals.
Maintain client information; gather and record client feedback to assess quality of service and relay client concerns to appropriate senior staff.
Assist with facilitating program activities which include congregate meal service
Maintain confidentiality of participant information
Register new members into peerplace
Provide friendly visits
Provide telephone reassurance calls to homebound seniors
Perform monthly updates on active members
Enter service units into PeerPlace and other required databases
Required to work on Thanksgiving and Christmas Day
Other duties as required
Qualifications/Educational Requirements
High School Diploma
At least 2 years of working experience
Excellent Organizational skills
Must be proactive and be able to work independently
Spanish speaking is a plus
Skills, Knowledge and Abilities
Proficiency in basic filing principles and standard correspondence formats.
Success at managing a wide array of tasks and thriving in a fast-paced work environment.
Experience in problem-solving, conflict resolution, customer service, and showing empathy.
Experience with and interest in working with a diverse group of people; staff and volunteers.
Excellent verbal and written communication skills; fluent in English including speaking, reading, and writing.
Ability to take direction, lead and motivate others, and creatively problem-solve.
Strong interpersonal and customer service skills and a genuine desire to engage deeply with supporters from a diversity of backgrounds, and have strong organizational and planning skills as it applies to volunteerism.
Computer Skills Needed
Highly proficient in Microsoft Office and Google Suite applications
Computer Proficiency and superior keyboarding skills
Physical Requirements
Heavy phone and computer use
Ability to move around the older adult center to deliver messages, files, supplies or during a volunteer orientation
Ability to lift and carry light to moderate items, such as files, office supplies, or equipment (up to 25lbs)
Work Environment
Office is in an older adult center in Manhattan
