The Administrative Assistant/Community Outreach Coordinator plays a vital role in supporting the Vice President of the Inside Sales Center while enhancing the overall culture, organization, and community impact of the team. This role combines high-level administrative support with creative presentation development, office operations management, and coordination of internal events and external volunteer initiatives. This individual is a proactive, organized, and personable team player who helps ensure the Inside Sales Center runs smoothly, efficiently, and in alignment with company values.
Primary Responsibilities:
Executive Support
· Provide direct administrative support to the VP, including calendar and inbox management, meeting preparation, travel coordination, and handling of sensitive information.
· Prepare professional, polished communications, meeting agendas, summaries, and follow-up tasks.
· Anticipate the needs of the VP and support special projects or operational initiatives as assigned.
Presentation Development
· Create visually compelling and dynamic PowerPoint presentations weekly and for special projects.
· Incorporate creative elements such as custom visuals, transitions, animations, and storytelling that align with brand standards and leadership voice.
· Manage updates, formatting, and deadlines to ensure presentations are always VP-ready.
Office Management & Operations
· Serve as the office manager for the call center, ensuring all departments have the tools, supplies, and support they need.
· Order and maintain inventory of office, kitchen, and event supplies within budget.
· Act as the liaison with vendors, building management, and service providers to resolve office-related issues.
· Verify and reconcile monthly credit card transactions related to administrative and office purchases.
Internal Events & Culture Building
· Plan and coordinate in-house celebrations including birthdays, work anniversaries, and promotions.
· Lead the planning of quarterly team events, the annual Family Day, and other culture-building initiatives in partnership with leadership.
· Support team recognition efforts and coordinate small gifts, shout-outs, and event logistics.
Community Outreach & Volunteer Engagement
· Act as the primary coordinator for the company's volunteer and charitable activities.
· Build and maintain relationships with local nonprofits and community organizations.
· Organize and promote team participation in service projects, donation drives, and corporate giving campaigns.
· Track engagement and impact for internal reporting and storytelling.
General Administrative Support
· Format and prepare internal documents such as reports, letters, flyers, and announcements.
· Organize and maintain digital and physical filing systems.
· Track deadlines and deliverables across multiple departments to support the VP's initiatives.
· Assist with onboarding tasks, internal communications, and occasional travel or event logistics.
Qualifications:
· Proven experience in an administrative support or office management role, preferably supporting senior leadership.
· Advanced Knowledge of Microsoft Office Suite tools, especially PowerPoint, with a strong eye for design and storytelling through presentations and SharePoint - Intermediate to moderate proficiency in SharePoint and oversee the ongoing maintenance, content updates, and general upkeep of the company intranet to ensure information is current, accessible, and engaging for all employees.
· Collaborating with department leads to refresh site resources, troubleshoot issues, and implement improvements that support internal communications and knowledge sharing across the organization.
· Strong verbal and written communication skills.
· Highly organized with attention to detail, time management, and the ability to multitask.
· Demonstrated ability to coordinate events, manage logistics, and maintain vendor relationships.
· Friendly, proactive, and approachable with a service-minded attitude.
· Comfortable working in a fast-paced, team-oriented environment.
· Passion for community engagement and representing the company positively in external settings.
Work Schedule, Travel & Benefits
In-office, Monday through Thursday with remote work on Friday 8am-5pm (Occasional in-office Fridays may be required)
Light travel may be required, including occasional out-of-state travel to support community events, team activities, or executive needs.
We offer a competitive compensation package of $55,000-60,000/yr
