Under the general direction of the Director of Administration the incumbent will perform the full range of administrative assistant duties and will be expected to complete special projects as assigned for the Executive Director and the Deputy Executive Director. Additional duties will include, but are not limited to the following: General reception duties, answer telephone calls, incoming and outgoing mail. Review, maintain, and approve time in Kronos Time System. Vehicle log usage and Pool Vehicle scheduling. Assist Headquarters staff with routine office work. Store runs. Inventory control system of NYSBA's office supplies. Data entry. Reconcile credit card and/or procurement statements. Manage the HOOCS spreadsheet. Bank deposit slips and monthly bank statements. In-House Capital Plan Management spreadsheets. Responsible for Annual File Management. Back-up support for Accounts Payable functions. Proficiently utilize Microsoft Office Suite, Adobe, and other program specific software. Perform various other administrative duties as assigned. Benefits: The hiring rate for this position is $58,565.00 in accordance with the CSEA Contract agreement with the NYS Bridge Authority. Status: Full-Time Mon-Fri, 8AM-4PM, in the Highland Office.

CURRENT NYS EMPLOYEES: This position may be filled as a traineeship and to be advanced to the full performance level of this title the selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy and successfully complete a set training and development program. Successful completion of the traineeship will lead to an appointment to an Administrative Assistant 1, SG-11.

MINIMUM QUALIFICATIONS: College Degree preferred but not required. Certification (e.g., IAAP Certified Administrative Professional) or Associate's Degree in Office Administration, Secretarial Science, Administrative Assistance, Paralegal, Business Technology, or Office Technology substitutes for two years of experience.

Administrative Assistant Trainee 1: Six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. To be advanced to the full performance level of this title you must successfully complete a set training and development program. Upon satisfactory completion of the 12-month training at the Trainee 1, you will automatically advance to Trainee 2.

Administrative Assistant Trainee 2: One year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. To be advanced to the full performance level of this title you must successfully complete a set training and development program.

Journey-level, Administrative Assistant 1: Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
