Description

We are seeking a highly organized and detail-oriented Administrative Assistant to support daily operations at our construction site in Farmers Station, NY. This front-desk role is essential to ensuring smooth administrative and payroll processes in a fast-paced, field-based environment. The ideal candidate will be comfortable working in a trailer office on-site, managing multiple tasks, and interacting with both internal teams and external visitors.

Key Responsibilities:

Payroll & Accounting Support

Input and verify union timesheets for weekly payroll processing

Submit payroll data to corporate office in a timely manner

Maintain payroll records, timesheets, invoices, packing slips, and union benefit documentation

Data Entry & Systems Management

Enter cost budgets and job setup details into JDE (Oracle Financial Management)

Process job proposals and change orders

Update Salesforce with weekly proposal activity across multiple disciplines

Assist with customer reporting (weekly/monthly)

Administrative & Clerical Duties

Greet and assist visitors at the front desk

Screen and route incoming phone calls

Manage incoming and outgoing mail

Order and maintain office supplies

Maintain organized office records and ensure compliance with company policies

Support onboarding paperwork and training coordination for new hires

Schedule and attend weekly/monthly WebEx calls

Qualifications:

Previous experience in administrative support, preferably in a construction or field-based environment

Familiarity with union payroll and basic accounting practices

Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

Experience with JDE (Oracle) and Salesforce is a plus

Strong multitasking and time management skills

Excellent communication and interpersonal abilities

Ability to work independently in a trailer-based office setting

Additional Skills & Qualifications

Construction site admin for payroll, clerical, data entry, invoicing ,etc.

High School Diploma or Equivalent

Knowledge of union contracts and/or legal experience helpful

Excellent time management skills and the ability to prioritize work

Attention to detail and problem-solving skills

Strong organizational skills with the ability to multi-task

Great communication with a positive mindset

Ability to multi-task

Pay and Benefits

The pay range for this position is $20.00 - $23.00/hr.
