Job Description
The Iowa Judicial Branch in Des Moines seeks applicants for an Administrative Assistant position. This position will provide administrative and clerical assistance to ensure smooth day-to-day operation for the Iowa Court of Appeals.

The starting pay for new State employees is expected to be at the base of the pay range. Adjustments may be made if the successful applicant has relevant experience. The pay range for this position is $23.13 - $36.57 per hour, paid on a bi-weekly basis of 80 hours per pay period.
The successful applicant will proofread opinions authored by judges for inconsistencies, as well as grammar, typographical, and formatting errors and consult with the judges, staff attorneys, or law clerks about substantive changes or legal questions.
Administrative assistants also track opinions and accompanying summaries assigned to their supervising judges throughout the circulation and e-filing process. Those duties include proofreading, distribution, tracking judges' votes, ensuring deadlines are met, conducting final edits, uploading opinions and summaries to the Judicial Branch website, and e-filing opinions through the Clerk of Appellate Courts. This position also helps track motions and orders in pending cases. The successful candidate will also provide miscellaneous administrative support to the full court and its staff as needed.
The successful candidate must have close attention to detail, be able to meet deadlines, have experience with Outlook, Word, Excel, and be comfortable learning the court's online docket and e-filing programs. Administrative assistants must also possess exceptional written and verbal communication skills, as well as the ability to work in a collaborative, positive, and team-oriented environment.
Examples of Duties and Responsibilities
Perform administrative assistance for judges on the Iowa Court of Appeals.
Maintain and update printed and electronic library and reference materials.
Perform moderate word processing duties for court orders, notices, and opinions.
Receive visitors, answer phones, open and distribute mail, and arrange meetings or interviews as necessary.
Schedule meetings and appointments and maintain a schedule.
Prepare meeting agenda, notices, materials, and minutes.
Create, edit, and format documents, reports, and presentations. Draft and proofread correspondence, memos, and emails.
Manage the office and supply inventory.
Other duties as assigned.
Knowledge, Skills, and Abilities
Knowledge of English, grammar, punctuation, spelling, editing, and proofreading.
Knowledge of court organization, functions, procedures, and legal terminology.
Ability to use word processing, spreadsheet, and other productivity software such as Microsoft Office 365, SharePoint, and Canva.
Ability to secure confidential information.
Ability to adapt to changing environment and priorities.
Excellent verbal and written communication skills.
Attention to detail.
Ability to manage multiple tasks efficiently.
Ability to maintain discretion and professionalism.

Minimum Qualification Requirements
The incumbent must meet the minimum requirements to qualify for the position.
High school diploma (or high school equivalency diploma).
One (1) year of related experience in office or administrative support.
Experience may be substituted with related education on the basis that successful completion of thirty (30) semester hours or academic equivalent equals one year of experience.
Prior experience working in a court, law firm, or legal department and familiarity with court procedures, legal terminology, and court documentation are preferred.
