PURPOSE
The Marketing and Communications Assistant serves as the primary point of contact for the University Marketing and Communications Office, playing a key role in connecting campus partners with the department's creative and strategic services. This role is responsible for meeting with clients to assess communication and marketing needs, developing campaign strategies to meet institutional goals, and coordinating internal creative teams to ensure the on-time delivery of high-quality marketing materials. The Assistant also oversees the general operations of the office, including clerical support, answering phones, scheduling meetings, and assisting the department's leadership team.
DESCRIPTION
Functional Area 1: Client Engagement and Campaign Development
Percent Effort: 40%
Serve as the primary point of contact for campus clients, including academic departments and administrative offices.
Conduct intake meetings with clients to understand project goals, target audiences, timelines, and deliverables.
Guide clients through the creative process, ensuring clear communication, alignment of expectations, and timely approvals of all marketing materials.
Draft and present project scopes, timelines, and recommended marketing strategies in collaboration with internal directors.
Translate client goals into actionable plans and creative briefs for internal teams.
Serve on various event committees as a department representative.
Functional Area 2: Project Coordination and Workflow Management
Percent Effort: 35%
Manage the lifecycle of marketing campaigns and creative projects from initiation through completion.
Coordinate timelines, deliverables, and approval processes across internal teams.
Monitor project milestones to ensure deadlines are met and communicate updates to clients and team members.
Use a project management platform (Basecamp) to track progress, manage requests, and organize documentation.
Collaborate with internal creative teams to ensure campaign execution aligns with university branding and strategic priorities.
Functional Area 3: Office Management
Percent Effort: 25%
Oversee the student workers that work at the front desk to ensure that the front desk and office space is welcoming and organized for visitors and team members.
Oversee the day-to-day office operations, including answering phones, managing department email, scheduling meetings, and maintaining digital filing systems.
Provide support with data entry, proofreading, and printing/distribution of materials, as needed.
Support the three departmental directors with administrative tasks, calendar management, and special projects, as needed.
Perform other duties as assigned.
QUALIFICATIONS
Bachelor's degree in marketing, communications, public relations, business, or a related field.
Additional experience may substitute for the minimum education experience: High school diploma/GED with four (4) years of related experience OR Associate's degree with two (2) years of related experience.
Strong organizational and time management skills with the ability to manage multiple projects simultaneously.
Excellent interpersonal and communication skills, both written and verbal.
Proven ability to collaborate with various teams and clients.
PREFERRED QUALIFICATIONS
Two (2) years of experience in project management, account management, marketing coordination, or a similar role.
Experience in higher education or a nonprofit environment.
Experience with Basecamp project management platform.
Familiarity with marketing campaign planning and creative development workflows.
Knowledge of Adobe Creative Suite or digital communication tools.
Experience with copy editing (AP style preferred)
SALARY: $43,888 - $45,000/annually, approximately.
$3,657.34 - $3,750/monthly.
