Job Description
Responsible for coordinating administrative support for Student Success and Academic Advising.
Salary information: The expected salary for this position is $39,635.00 annually.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Coordinates administrative support functions. Assists in the coordination of daily workflow and the resolution of complex, highly sensitive, and confidential matters; provides organizational planning and problem-solving skills.
May serve as the Office Manager. Develops, evaluates, and ensures adherence to office procedures. Assists in the development of budgets.
Analyzes programs, projects, or initiatives. Monitors project timelines and identifies issues. Adapts, combines, and makes improvements to services, processes, or programs. Creates and revises systems and procedures by analyzing operating practices, student recordkeeping systems, all departmental forms creation and control, statistical reports; and implementing changes made by management.
Formulates, interprets, and/or implements management policies or operating practices. Develops administrative and technical procedures. Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies, and procedures.
Assists with monitoring compliance with university, state, system, and federal regulations, policies, and procedures including grant regulations and protocols.
Communicates effectively and collaborates with faculty, staff, students, and public community members.
Identifies administrative issues and provides possible solutions.
Oversees administrative functions for Academic Advising and Student Success departments. This includes serving as an initial point of contact for university stakeholders and the general public for matters related to each area.
Assists with the preparation of reports and data collection including, but not limited to, student feedback, utilization of services, materials inventory and check-out, and analyzes statistical student and financial data for to unit performance and submission in annual performance reporting for grants.
Plans and coordinates meetings, seminars, and other special events.
Maintains professional and technical knowledge by attending educational workshops and professional development training.
Maintains a variety of fiscal, administrative, and academic records. Uses FAMIS/Canopy to maintain and reconcile Academic Advising and Student Success department accounts monthly or as needed and keep the supervisors advised of balances and prepares requests for expenditures.
Negotiates the purchase of office supplies, furniture, office equipment, etc. for the unit in accordance with purchasing policies and budgetary restrictions. Supervises the maintenance and alteration of office areas and equipment. Maintains current inventory of office supplies, prepares requisitions for replacement of supplies and equipment; performs ongoing inventory of office supplies and equipment, as well as textbook maintenance and inventories.
Supervises, trains, and evaluates the work of part-time student and non-student staff as necessary, including assigning tasks and evaluating job progress.
Coordinates travel arrangements and prepares itineraries.
Maintains confidentiality and security of information and files in accordance with FERPA for all department offices
Coordinates arrangements for Academic Advising and Student Success activities, programs, and assigns work to student workers as needed. Manages the reception area to ensure effective telephone and mail communications are managed efficiently.
Demonstrates student-oriented service in all interactions with students by providing cordial, caring, thorough, proactive, and encouraging assistance and direction.

KNOWLEDGE, SKILLS & ABILITIES:
Minimum Qualifications
Bachelor's degree or equivalent combination of education and experience.
Three years of related experience.
Knowledge of word processing, spreadsheet, database, and presentation applications.
Ability to multitask and work cooperatively with others.
Interpersonal and communication skills.
Planning and organization skills.
Preferred Qualifications
Experience in Higher Education
Experience with Microsoft Office 365 applications
Other Requirements
Must be able to work independently and complete all tasks in a timely manner.
Ability to prioritize work to meet deadlines and handle periods of increased workload demands.
Must have experience in customer service with people from all educational backgrounds.
Ability to maintain confidentiality.
Ability to occasionally work beyond normal office hours.
