Description We are looking for an organized and detail-oriented Administrative Records Specialist to join our team in Waukesha, Wisconsin. This long-term contract position involves supporting the Health & Human Services Department by managing records and ensuring compliance with confidentiality regulations. The role is ideal for candidates experienced in health information management or those pursuing a career in Health Information Technology.

Responsibilities:

Digitize and organize documents related to the Children Long-Term Support Program through precise scanning and filing processes.

Maintain and update records, adhering to established protocols for both paper and electronic filing systems.

Assist with the release of medical and other sensitive records while ensuring compliance with state and federal confidentiality regulations.

Utilize electronic health record systems effectively to manage and retrieve information.

Apply knowledge of medical terminology and regulatory compliance to ensure accuracy in record handling.

Handle requests for information release, following established procedures and confidentiality guidelines.

Collaborate with team members while also working independently to prioritize and complete tasks.

Use Microsoft Office tools, including Word, Excel, and Outlook, to create, edit, and manage documents.

Ensure the confidentiality of all records in compliance with HIPAA and other relevant privacy laws.

Identify and resolve issues using critical thinking and problem-solving skills. Requirements - Previous experience in health information management, including familiarity with medical records and electronic health record systems.

Strong understanding of state and federal regulations related to mental health, substance use disorder, and other medical records.

Proficiency in medical terminology and knowledge of Health Information Technology principles.

Experience with release of information processes and confidentiality protocols.

Ability to work independently and collaboratively in a team-oriented environment.

Skilled in using Microsoft Word, Excel, and Outlook for document management and communication.

Excellent verbal and written communication abilities.
