Position Title: Project Accountant
Position Location: Remote - work virtually from anywhere in the United States
Job Summary
The Project Accountant will have the opportunity to work with and collaborate with professional and operations staff. This position will work as part of the Accounting Team and interact closely with the project management, field and design staff to perform standard accounting activities over the lifecycle of the project.
The Project Accountant will receive general instructions on routine work, detailed instructions on new projects or assignments. May work independently, consistently exercising discretion and independent judgment on individual work, or may work under immediate supervision. May serve as lead on routine projects of limited scope.
The Project Accountant will communicate and operate in line with organizational goals and values, as well as departmental objectives.
Essential Functions
Project Facilitation / Administration (70%)
Provide support for new PO and CO, routing, confirming and entering data as needed
Provide support and guidance on project initiation in ERP system
Generate and submit billings according to client submission requirements including organization of required backup and conformance to firm billing standards and contract requirements
Research invoicing discrepancies and make any necessary corrections or adjustments
Review project financial documents and scheduled billing for accurate projected revenue
Provide data and support in relation to resource planning
Provide project managers with accounting-related support throughout the project lifecycle including project setup, billing, closeout, etc.
Work closely with project managers to monitor timely payment of invoices and follow up as necessary
Manage accounts receivable and collection process, including timely reporting of status and issues
Hold weekly meetings with project managers to address outstanding items, provide insights / data requests and answer any ERP questions
Financial Reporting / Analysis (10%)
Analysis and reporting to support leadership and project teams for current and future reporting needs including project expenses, accounts receivable and cash flow
Compliance & Contract Management (10%)
Manage subcontractor invoicing per contract requirements
Coordinate project contracts and change orders including all applicable attachments, to subcontractors / subconsultants and follow through until contract is fully executed
Provide and collect all necessary information supplemental to the contract, including but not limited to NDA, COI, ACH info, W9, billing forms, etc.
Maintain concise contract administration files on the network and in the accounting system
Ensure conformance to policy and propose / maintain updates as needed
Audit / Process Improvements (10%)
Ensure project data accuracy by auditing projects as needed
Work with department managers and project managers to develop project management tool automations
Completion of Assigned Tasks and Deliverables on Time and on Budget
Performs other related duties as assigned
Requirements
Position Requirements (Intermediate level for all the following)
A full understanding of project accounting, billing projections and contract administration
Skilled using M365 products (Excel, Word, Outlook, PowerPoint, Teams) and Smartsheets
Ability to work successfully in a remote environment through effective communication and organizational skills, self-motivation, proactiveness and resourcefulness in a distraction free workspace
Ability to communicate verbally and in writing technical and non-technical information
Ability to identify problems, evaluate alternatives and implement effective solutions
Ability to prepare accurately, update and maintain records, files and report
Ability to work successfully as a member of a team and independently with moderate supervision
Ability to work under pressure and meet close deadlines
Organizational skills, with the ability to manage multiple tasks simultaneously

Travel / Relocation Requirements
Up to 5%, this may include travel to any or all 50 US states
Travel is defined as physically leaving home on behalf of business activities including but not limited to client sites, meetings with other employees, meeting for business development purposes, running errands on behalf of the business, attending industry conferences, etc.
Education / Experience
Associate degree in accounting
PLUS
Minimum of four years of experience in business administration, including:
An administrative / support role directly for executives and / or project managers
ERP / billing software experience (Vantagepoint a plus)
Business analysis experience (Power BI a plus)
