The UF Online Academic Operations & Curriculum Specialist plays a pivotal role in managing the academic program lifecycle-from launching new online degree programs to coordinating course development and curriculum approvals. Reporting to the Associate Director for UF Online, this role works closely with academic units to ensure programs remain high-quality, compliant, and aligned with student demand. With a focus on strategic planning, workflow management, and collaboration, this is an exciting opportunity to impact the future of academic delivery in one of the nation's top online programs.
The UF Online Academic Operations & Curriculum Specialist is a collaborative and detail-oriented leader responsible for managing the academic program lifecycle for UF Online. Reporting to the Associate Director, this role leads research and development of new academic programs, coordinates curriculum approvals, and works closely with academic units and leadership to produce intentional and prioritized course development. Additionally, the Specialist monitors course scheduling, seat allocation, and registration processes to optimize resource use and align academic offerings with student demand. This operations-focused role also helps academic units align on best practices.
Serving as a key liaison to academic units and campus partners, the Specialist supports curriculum workflows, ensures compliance with university policies and state statutes, and facilitates effective communication to streamline course production and program delivery. This role analyzes academic program data to guide continuous improvement and contributes to planning future academic initiatives. Through collaboration across academic departments and administrative units, this position promotes accessible, engaging online programs that meet the evolving needs of UF Online students, ensuring a smooth and seamless academic experience.
Opportunity
Academic Program Development & Curriculum Coordination
Lead market research and support the development of new academic programs, including majors, minors, and courses. Coordinate curriculum approval processes in partnership with academic units and university committees. Collaborate with academic units and colleges to identify opportunities for expanding UF Online's academic offerings. Facilitate the seamless transition of approved proposals to the Center for Online Innovation and Production (COIP) for production intake. Inform UF Online leadership and department chairs about curriculum needs to help prioritize future course development and ensure newly developed courses are integrated into routine scheduling to maintain a consistently high-quality academic experience. Review courses production reports and maintain up-to-date degree maps.
Monitoring Course Scheduling, Seat Allocation & Capacity Planning
Monitor course scheduling and seat management within the Colleges to optimize availability, resource utilization, and capitalize on past investments in course development. Coordinate with academic units to balance student demand with operational capacity, ensuring timely course openings and optimized enrollment. Oversee registration preparation by verifying the schedule of courses' accuracy and reviewing registration reports to identify and correct errors. Investigate erroneous registrations through communication with faculty, staff, or advisors to ensure students are registered in appropriate course sections. Collaborate with the Quest Office and Academic Advising Center to analyze registration trends, forecast demand, and manage seat allocation for Quest courses each term. Proactively monitor registration trends and course caps to address potential issues before they impact enrollment.
Curriculum Operations & Communication
Support the prioritization of course development efforts to align with academic goals and student needs. Develop, draft, and distribute clear and timely academic program communications to academic units, faculty, and campus partners to facilitate efficient course proposal intake and approval. Provide operational support for curriculum workflows by coordinating with internal and external stakeholders, including COIP. Monitor adherence to university policies and statutes to ensure curriculum compliance. Foster collaboration among academic units to streamline course development and scheduling processes, thereby maintaining consistent, high-quality online program offerings.
Data Assessment & Continuous Improvement
Collect and analyze academic program data to evaluate course and program effectiveness. Utilize insights to drive continuous improvement, ensuring offerings remain responsive to student needs and aligned with university and state priorities. Develop data tools and reporting infrastructure to support operational effectiveness.
Perform other duties as assigned to support the mission and strategic priorities of UF Online. These may include participation in university-wide initiatives, task forces, or committees; support of special projects; assistance with accreditation or compliance efforts; and providing leadership coverage or cross-functional collaboration as needed. Flexibility, initiative, and responsiveness are essential to maintaining the ongoing effectiveness and innovation of UF Online.
Expected Salary:
Annual Salary $65,000-$75,000
Preferred:
Master's degree with experience in academic program management, curriculum development, academic operations, enrollment services, or a related area-preferably with experience supporting online education and with leadership responsibilities.
Knowledge of university academic policies, curriculum approval processes, and degree planning best practices.
Familiarity with Florida's Common Course Numbering system and the University of Florida's academic ecosystem is strongly preferred, including the UF catalog, course scheduling, and student registration process.
Experience with systems such as Salesforce, PeopleSoft, Canvas, and Tableau.
Demonstrated ability to manage multiple projects simultaneously, prioritize deadlines, and maintain accuracy in a fast-paced, evolving environment.
Experience overseeing course scheduling, monitoring seat availability, and conducting capacity.
Proficiency in collecting and analyzing data to evaluate academic programs and support continuous improvement.
Excellent interpersonal, written, and verbal communication skills, with the ability to collaborate effectively across academic departments, administrative units, and campus partners.
Ability to work both independently and collaboratively, demonstrating initiative, adaptability, and attention to detail.
