Position Summary

The Administrative Assistant II provides support to the Department Chair, students, faculty, and staff of the Family Life and Human Development department. The position also serves the College of Education and Human Development as the main receptionist to greet the public and work with students.

Essential Functions

Compile and organize enrollment data daily and help create faculty load schedules every semester, including assisting the department chair in schedule preparation; submit payroll forms for courses being taught each semester.

Maintain Department level budgets with department chair. Purchase classroom and office supplies, lunches for department meetings, and items needed for student events.

Coordinate with programs to establish practicum/internship placements for social work and early childhood students.

Make travel arrangements such as booking flights; pay for hotels and other arrangements. Fill out travel requests and expense reports.

Warmly greet and provide accurate information to persons entering the office or contacting the office over the phone or through email, and coordinate/organize swivl check outs/ins.

Posting and hiring of student worker positions, supervision of student workers, including hours and performance evaluations, and tracking Federal Work Study. Also serves as a liaison between the faculty and Human Resources.

Other duties as assigned.

Attend, coordinate, and manage monthly TED meetings, attend monthly Academic Professionals Meeting and other department meetings, as necessary. Helps with events at the department and college level.

Create copies, update displays, dept. brochures and websites as needed.

Education & Experience

Minimum Qualifications

2 Year / Associate Degree.

Two years of administrative assistant experience.

Proficiency with computers, both windows and apple products.

Attention to detail, excellent communication skills and organization.

Reliable transportation.

Preferred Qualifications

4 Year / Bacherlos Degree.

Knowledge of appropriate software including: Microsoft Word, Excel, Microsoft PowerPoint, OneDrive, Google Drive, and Adobe Acrobat, Banner, Argos, and Astra.
