We are looking for a Medical Office Assistant who will provide the highest quality of patient care by being an integral part of the clinical team. The ideal candidate will provide administrative and clinical support to ensure the smooth operation of our medical office. The Medical Office Assistant serves as an important liaison between the patient/family, providers, and other departments involved in the patient referral, treatment plan, and follow up through the Structural Heart Center. Job Details Key Responsibilities: Welcome patients to the GSH Structural Heart Center in a professional and compassionate manner, ensuring they are comfortable and informed throughout their visit Coordinate and schedule patient appointments for consultation and testing, ensuring accurate timing and resource availability Confirm patient appointments, reschedule as necessary, and update scheduling systems Efficiently obtaining patient records while ensuring HIPAA compliance and promptly uploading to EMR for clinical review Schedule all patient appointments from time of patient referral, testing including but not limited to Cardiac CTA, TEE, and any required lab work through post procedure follow up appointments Implement an improved appointment schedule for the GSH Structural Heart Center patients along with routine communication of the schedule for all involved GSH departments Preps the patient chart with pre-visit planning by reviewing the next working day's schedule and identifying gaps in care Verify medical insurances for all patients seen through the GSH Structural Heart Center, including obtaining authorizations for necessary testing and consultations Responsible for answering all phone calls to the GSH Structural Heart Center and addressing patient, family and doctor office requests as necessary Maintain open communication with the doctors, nurses, and support staff to ensure smooth coordination of patients Filling out intake sheets for any new patients referred to the Structural Heart Center Accurately input patient information into electronic health records (EHR) systems and update medical charts as needed Ensure all insurance approvals, and other documentation are accurate and up to date Coordinating patient flow during clinic evaluation day between different testing departments to optimize patient work flow and reduce wait times which in turn improves patient experience Preparing all exam rooms for patient visits, including restocking necessary medical office supplies Rooming each patient for their office visit including obtaining vital signs, allergies, height/weight, accurate medication reconciliation, performing EKG, and completing EPIC questionnaires Obtains additional data from patient/significant other, EKG/lab/diagnostic test results and other historical data. Reports findings to provider, recognizing abnormal findings or changes in condition Schedule follow-up appointments and ensure that patients are informed about any required aftercare Promptly sending necessary patient imaging to appropriate vendors as a part of the patient evaluation process Serve as the primary point of contact for patients, doctors, and support staff for the Structural Heart Center Address patient concerns or questions, offering support and guidance through the procedure process Ensure all activities comply with healthcare regulations, including HIPAA and patient confidentiality laws Order and restock medical supplies as needed to ensure the team has everything they need Advocate for patients, ensuring they receive the best possible care and experience throughout their journey through the GSH Structural Heart Center Address any concerns patients may have about the procedure and provide reassurance or direct them to the appropriate healthcare provider for clarification. Qualifications: Completion of an accredited Medical Assistant Program or 3+years documented medical assistant experience and completion of the CH Medical Assistant Assessment. BCLS training and current certification required from: American Heart Association or American Red Cross. Proficiency with care tasks such as phlebotomy, aseptic technique, etc Knowledge of medical terminology, billing procedures, and insurance processes is advantageous. Proficiency with EHR systems and basic office software (Microsoft Office Suite). Excellent communication and interpersonal skills with a strong customer service focus. Ability to multitask and stay organized in a fast-paced environment. Attention to detail and confidentiality is essential. Ability to work well both independently and as part of a team. Salary Range USD $25.86 - USD $33.62 /Hr. This range serves as a good faith estimate and actual pay will encompass a number of factors, including a candidate's qualifications, skills, competencies and experience.
