We're hiring a Construction Project Specialist to support our Corporate HQ in Columbia, MO and we're looking for someone who's ready to grow with us, bring energy and drive to their work, and help us build the future of construction. A Construction Project Specialist is to control the administrative, logistics and coordination aspects of our Construction Projects. This role is an essential part in ensuring a smooth and well-executed Construction process across all phases and well communicated with associated teams, departments and entailed entities ultimately supporting the overall construction process and maintaining quality assurance and keeping team attuned to budget and schedule demands. The ideal candidate will possess excellent organizational skills, strong communication abilities, and a keen understanding of construction processes and procedures. The individual will play a key role in managing nationwide expansion efforts and supporting the Construction, Real Estate, Architecture and Engineering teams on corporate projects and retail facilities. This position is fully remote.
Salary range: $91k-$102k. Factors including past experience and location may affect final compensation rate.
Primary Responsibilities
Ensure Corporate & Branch facilities uphold the EquipmentShare standards
Execute multiple projects under various deadlines
Serve as primary point of contact, both in house, and out of house, for full portfolio of EquipmentShare projects as liaison for Architecture and Engineering Departments and report to Director and members of the team to ensure full and comprehensive status of each project.
Read, interpret, and explain complex technical documents to peers, leaders, and entities involved in the Construction of our projects
Work with outside consultants (Architecture, Structural, MEP, Civil) in the form of client representation or liaison role and communicate, fully, requests, additions, alterations, changes that occur during the construction process
Monitor project progress and handle any issues that arise - as it pertains to the Architectural and Engineering scope of work.
Manage documentation such as contracts, purchase orders, pay apps, permits, RFIs, submittals, shop drawings, and change orders among other ancillary requirements that are typical for project tracking and goals.
Organize and participate in project meetings, taking notes and distributing minutes.
Coordinate project activities, resources, documentation, and information between internal teams and external stakeholders.
Transcribe and distribute project documents and correspondence such as the contracts, meeting minutes, purchase orders, pay apps and various ancillary exhibits, and create and maintain paper and electronic project files according to company and professional guidelines
Maintain and track project information in dedicated software
Read the prime contract and ensure all reporting obligations and deliverables are
Prepare and/or review closeout documents
Perform other related duties as assigned
Work with project team and manager(s) as directed to achieve departmental objectives
Assist the CPM in the preparation of project proposals, schedules, and budgets as needed
Track project costs and expenditures to help ensure financial targets are met as needed.
Support the site teams as needed with logistics coordination, material deliveries, and subcontractor scheduling - mainly as it pertains to design related vendors

Skills & Qualifications
Must be able to work in a fast-paced environment and manage multiple projects simultaneously with various priorities and deadlines
Strong knowledge of typical Construction Administration involvement, acting on behalf of the Owner and Design Team - including RFIs, Submittals, Shop Drawings, Pay Applications, Inspections, Punch Lists, Close-out, Construction Contracts (AIA), etc.
Bold adherence to the Design Standards as identified by the Design Team. Hold the parties in the field - both internal and external - to the comprehensive information and direction as identified by the contract documents and specifications.
Exceptional negotiation and communication skills, with the ability to effectively represent the company in OAC meetings and with GCs, sub-contractors, vendors, manufacturers, suppliers, AHJs, and the like.
Able to work with a high degree of independence and be able to take the lead on initiatives with limited supervision is a must
Experience with new construction and renovation projects
Experience working in commercial, warehouse, and industrial construction projects.
Familiarity with real estate documents, construction-related drawings, and contracts is a must.
Detail-oriented with excellent problem-solving and organizational skills
Demonstrated verbal, written and time management skills
Proficiency in the following software:
Bluebeam
Google Apps and/or Microsoft Office Suite
Procore Construction Management Software
Education and Experience
A Bachelor's degree in Construction Management, Architecture, Engineering or a related field is preferred. Comparable experience in related fields will be considered.
Must have experience with QA / QC experience as well as extensive Construction Administration - at least 8 years experience in Construction / Design preferred, at least 5 years in Construction Administration
Physical Requirements
Must be able to sit for prolonged periods at a desk and work on a computer.
Traveling up to 10% to periodically visit our corporate office in Columbia, MO., will be required.
