Job Title: Construction Administrator

Job Description

The Construction Administrator will be responsible for purchasing materials for projects, obtaining quotes from vendors, and collaborating with Project Managers for pricing. You will handle the procurement of materials for each assigned project and manage billing and material logistics. This role involves reviewing project scopes with Project Managers to ensure accuracy and coordinating with vendors to ensure timely delivery of materials according to project schedules.

Responsibilities

Set up projects in the business system based on Sales to Operations transition documents.

Assist in the initiation and tracking of contract projects to ensure compliance and successful completion.

Prepare invoices and any additional documentation required for billing purposes.

Support Engineering Specialists and Project Managers in preparing submittals and operation/maintenance manuals.

Assist in project forecasting with the Project Manager.

Process invoices and validate them according to project contract documentation.

Gather and record information to assist with process compliance monitoring.

Initiate and track the progress of contracting business unit claims.

Initiate documents for purchase orders, subcontracts, and change orders.

Comprehend customer contracts to determine the need for project-specific documentation.

Assist Project Managers with project cost forecasting at completion.

Coordinate with customers on contract documentation, including tax documents and purchase orders.

Communicate effectively with team members regarding problems, obstacles, issues, and information needs.

Meet the needs of internal and external customers efficiently.

Coordinate with various staff for accurate and timely recording of project costs, including time sheets and daily reports.

Essential Skills

Project coordination experience.

Proficiency in obtaining quotes and managing RFQs.

Experience in purchasing and budgeting.

Strong email communication skills.

Knowledge of construction processes.

At least 1 year of experience in the Architecture/Engineering/Construction industry is highly preferred.

Experience working alongside Project Managers and outside vendors.

Ability to work in a fast-paced environment and multitask across multiple projects.

Pay and Benefits

The pay range for this position is $50000.00 - $70000.00/yr.
