Job Summary
The Licensing Coordinator I plays a crucial role in supporting the legal department and ensuring the company remains compliant with all applicable licensing, regulatory, and legal requirements. This position is responsible for coordinating licensing processes, assisting with legal documentation, maintaining compliance records, and providing administrative support to legal team. The Licensing Coordinator I will collaborate with internal departments and external agencies to ensure the company operates within the legal frameworks required for the auto finance industry. This role requires a strong attention to detail, excellent organizational skills, and the ability to work effectively in a fast-paced environment while managing multiple priorities and deadlines.
Job Duties
Coordinate the licensing process for the company, including tracking renewal deadlines, ensuring timely submissions, and maintaining records for state, federal, and local licenses, bonds, and certifications.
Assist with the preparation, submission, and management of applications for new licenses, renewals, and amendments required for the business to operate legally in various jurisdictions.
Support the legal department in preparing and reviewing legal documents, and correspondence related to licensing, compliance, and regulatory matters.
Communicate with regulatory agencies and internal departments to gather necessary information to resolve issues.
Maintain and organize a comprehensive database of licensing and compliance records, ensuring all relevant information is easily accessible and up to date.
Track and report on compliance deadlines, including filing reports, paying fees, and submitting required documentation to regulatory bodies.
Assist the Licensing Manager with the preparation and filing of annual reports to regulatory agencies as required by law.
Assist the Licensing Manager in preparing for audits or regulatory reviews by ensuring that licensing and compliance documentation is accurate and readily available.
Under the supervision of the Senior Vice President and Deputy General Counsel, the Licensing Coordinator I will stay updated on changes in laws and regulations related to licensing and compliance within the auto finance industry, ensuring timely communication of new requirements to internal teams.
Provide administrative support to the legal team, including scheduling meetings, make travel arrangements, preparing meeting agendas, managing correspondence, accounting, and coordinating internal and external communications.
Coordinate the preparation and organization of documents requiring executive signatures. Monitor signature progress to ensure timely completion of all requests.
Ensure all company licenses and bonds are accurately tracked, and that renewal timelines and requirements are strictly adhered to.
Provide general legal department support, including handling routine inquiries, maintaining department files, and performing clerical duties as needed.
Education and Experience
Education: High School Diploma or equivalent
Work Experience: 0-2 Years
Strong attention to detail with the ability to manage multiple tasks and deadlines in a fast-paced environment.
Excellent organizational skills and the ability to maintain accurate records and databases.
Ability to communicate effectively with internal teams, regulatory agencies, and external partners.
Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint) and strong working knowledge of all current enterprise technologies required.
Strong interpersonal skills, with the ability to collaborate effectively with cross-functional teams and external stakeholders.
High degree of professionalism and discretion in handling confidential and sensitive information.
Ability to learn quickly and adapt to changing legal and regulatory environments.#LI-Hybrid
