Description

A hospitality company in Pasadena is hiring an Executive Assistant to support the Managing Partner on a direct hire basis. This is a fully onsite role. Responsibilities include-

Provide high-level administrative support to the founder, including managing schedules, appointments, and correspondence.

Coordinate and oversee personal assistant tasks such as arranging dry cleaning and other household-related errands.

Manage and prioritize competing demands with strong attention to detail and proactive problem-solving.

Act as a gatekeeper for the founder, ensuring efficient communication and handling inquiries.

Organize and facilitate conference calls, meetings, and events using tools such as Cisco Webex and Concur.

Maintain and update records, files, and systems to ensure smooth operations.

Proofread documents and correspondence to ensure professionalism and precision.

Handle time-sensitive requests and remain on call for urgent matters, including overtime when needed.

Collaborate with other team members to ensure seamless support for the founder and the organization.

Requirements

Minimum of 5+ years of experience as an Executive Assistant, preferably supporting senior executives or founders.

Strong proficiency in tools such as ADP, Cisco Webex Meetings, Concur, CRM systems, and Kronos Timekeeping.

Exceptional organizational and calendar management skills with the ability to multitask effectively.

Excellent communication skills, both verbal and written, with a highly experienced and detail-oriented demeanor.

Ability to work on-site in Los Angeles, California, five days a week on a permanent basis.

Flexibility to work overtime and be available for on-call needs as required.

High level of attention to detail and a proactive approach to problem-solving.
