Job Summary/Basic Function
About This Role:
Serves as a key communication link between the School of Nursing, faculty, students and general public, greeting/directing students and visitors and properly routing calls that come into the Dishman School of Nursing. Provides administrative support through problem solving, organizational and office management skills. Performs a wide variety of duties in the Information Center including the entry of data, organization of data into reports, and maintenance of advising folders. Demonstrates initiative and responsibility for individual performance of routine job duties and completes assigned tasks in a timely, efficient manner. Collaborates with Academic Advisor and Recruitment Coordinator of the Dishman School of Nursing to provide information to present and future students as well as spearheads marketing initiatives.
What You'll Do - Position Responsibilities:
Serves as an essential communication link among faculty, students, general public, practicum agencies and internal university constituents. Serves as a communication link for all current and potential students. Serves as the Dishman School of Nursing marketing liaison and works closely with the advisor, recruitment coordinator and director in this endeavor.
Performs receptionist activities for all areas of the School of Nursing (undergraduate and graduate programs), including good customer service. Greets visitors and students and ensures phone calls are answered promptly and directed appropriately. Responds to questions about the nursing programs from the public and students.
Assists in admissions and progression activities including preparing and reviewing student application files, preparing admission letters and packets for approval. Sends notifications of admission status and decision as approved by the Admissions, Progression, Exceptions, and Graduation ( APEG ) committee.
Prepares and maintains academic files on applicants to the prelicensure BSN program. Maintains the files of students who are admitted to a the prelicensure BSN program as well as the files of those students who have graduated or are otherwise no longer in the nursing program, including archiving those files as needed. Accesses and uploads student files into Extender.
Completes and processes standard forms, prepares memos, routine letters or writes components of short reports in a timely and accurate manner.
Assists with data entry and data processing using Microsoft Access and Excel software.
Enters data concerning students pertaining to advisement. Organizes data concerning students into reports pertaining to advisement.
Provides administrative functions for marketing, recruitment, social media, and public communications endeavors in the School of Nursing.
Assists with general School of Nursing duties (for example, deliveries on-campus, mail pick-up, copying for all areas of School of Nursing, answering phones, filing, shredding, preparation of exams, course materials, and procurement of promotional items).
Performs related duties as required.
Key Competencies:
Demonstrate expert knowledge of office management skills, including efficient word processing (Microsoft Word), spreadsheet (Microsoft Excel), and database (Microsoft Access).
Ability to prepare effective correspondence on routine matters.
Ability to understand and follow moderately complex oral and written instructions.
Ability to deal with students, prospective students, and general public effectively and tactfully.
Ability to @type various forms. Must be able to @type 55 wpm.
Ability to deal with several events at once, while effectively completing assigned work.
Demonstrate knowledge in the area of marketing and recruitment and the use of social media and various points of contact for marketing the Dishman School of Nursing.
Ability to work in fast-paced situations.
Adhere to Lamar University and School of Nursing policies.
Physical Requirements: Sedentary, exerting up to 10 lbs. occasionally or negligible weights frequently; sitting most of the time.

Minimum Qualifications
Associate degree or two years of college coursework related to job functions, or combination of education and experience in related field (2 years of experience = 1 year of formal education).
Three years of secretarial/office experience required.
