Description We are looking for a detail-oriented and organized Front Desk Coordinator to join our team on a contract basis in East Rochester, New York. This role is ideal for someone who thrives in a fast-paced environment and enjoys providing exceptional customer service while managing administrative tasks. As the first point of contact, you will play a key role in ensuring smooth daily operations and maintaining a welcoming atmosphere for clients and visitors.

Responsibilities:

Serve as the primary point of contact for visitors, ensuring a warm and attentive greeting.

Manage multi-line phone systems, directing calls appropriately and addressing inquiries with efficiency.

Perform data entry tasks with accuracy and maintain organized records.

Coordinate and schedule meetings, appointments, and other events as needed.

Provide concierge services, assisting clients with requests and ensuring their needs are met.

Maintain and organize files, ensuring all documentation is easily accessible and up-to-date.

Utilize Microsoft Office tools, including Word, Excel, and Outlook, to create reports, manage correspondence, and track schedules.

Collaborate with team members to support administrative needs and streamline office processes.

Ensure the front desk area remains clean, organized, and presentable at all times.

Handle sensitive information with confidentiality and professionalism. Requirements - Prior experience in administrative assistance or front desk coordination.

Proficiency in managing multi-line phone systems.

Strong customer service skills with a focus on client satisfaction.

Familiarity with Microsoft Office Suite, including Word, Excel, and Outlook.

Ability to perform accurate data entry and maintain organized records.

Excellent interpersonal skills and the ability to work collaboratively.

Proven ability to manage time effectively and prioritize tasks.
