Responsibilities

This position is responsible for assisting multiple executives with a wide range of administrative and support-related tasks and the ability to work independently with little supervision following initial training. This person must be well-organized, flexible and enjoy the administrative challenges of supporting a group of diverse people and programs. The ability to interact with staff at all levels in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important. This is a hybrid position with expectations to be in the office 2-3 days per week.

Project Coordination

Coordinate various assigned priority projects and their interdependencies

Manage team meetings organization (venue, content, decks, town halls etc)

Coordinate and prepare decks for executive members for ELT and Board presentations

Administrative Support

Book and arrange travel and accommodation to assigned Executive

Manage expense reports

Manage calendars and organize meetings

Prepare reports and presentations

Schedule meetings and documents and distribute meeting agendas. Work with IT staff to ensure conference room equipment is operating properly and that all relevant staff is trained on its use taking notes, capturing actions, following up on progress

Partner with facitilies management to provide best in class services and amenities

Qualifications

Experience & Education

Advanced PowerPoint skills

Advanced Microsoft Programs (Word, Outlook, Excel, Teams)

Knowledge, skills, and abilities (KSAs)

Complete support of C Suite level executive

Ability to work positively with the wide range of individuals involved

Willingness to work with other Admin Assistant team members

Ability to prioritize tasks

Strong organizational skills and ability to multitask

Flexibility and adaptability

Ability to find innovative ways to resolve problems

Knowledge of standard software

Discretion and trustworthiness

Accuracy, efficiency, and confidentiality

Excellent interpersonal skills required
