Job Summary
The Senior Leave of Absence (LOA) Specialist plays a pivotal role in shaping and managing our Leave of Absence programs within the HR Shared Services team. This position is responsible for the administration, compliance, and continuous improvement of leave and accommodation programs related to federal and state laws (FMLA, PFML, ADAAA, PWFA, etc.). The LOA Specialist acts as a liaison between employees, HR, and our LOA vendor, ensuring smooth processes, providing expert advice, and implementing strategies to meet organizational needs. You will collaborate with the Benefits Manager on training, metrics, reporting, and communication initiatives.
Essential Duties
Leave and Accommodation Management: Administer all leave and accommodation programs, ensuring compliance with federal and state regulations, as well as collective bargaining agreements.
Case Management: Coordinate leave processes, return-to-work, and fit-for-duty statuses. Serve as the subject matter expert (SME) for disability management, interactive ADA processes, reasonable accommodations, and related matters.
Communication and Consultation: Provide expert advice and policy interpretation to managers, employees, and HR Business Partners. Manage sensitive and confidential assignments with collaboration from vendors, HR, legal counsel, and healthcare providers.
Analysis and Improvement: Analyze recurrent issues, identify root causes, and recommend process improvements. Lead case management review meetings and implement modifications to address concerns.
Vendor Management: Maintain relationships with leave management vendors and ensure policy compliance.
Policy Development: Develop and update policies and procedures related to leave of absence and accommodations.
Reporting and Training: Produce regular status reports, provide education to the HR team, and recommend reporting refinements.
Benefits Administration: Assisting with new hire benefits enrollment, open enrollment, and qualifying life event changes.
HR Shared Services Support: Respond to inquiries from employees and managers via the ServiceNow case management system. Provide guidance on various HR areas including onboarding, benefits, LOA, and workers' compensation.
HRIS/System Administration: Serve as a "SuperUser" for HRIS systems (e.g., ServiceNow), recommending enhancements and supporting implementations.
Documentation and Compliance: Develop process documentation, promotional material for the Service Center, and ensure legal compliance.
Qualifications Required
Bachelor's Degree in Human Resources or related field required
5+ years of Leave of Absence experience, the ideal candidate will have LOA experience in multiple states.
Experience working in shared services environments and with HR technologies.
Proven experience in process improvement, data analytics, and development.
Experience managing third-party vendors.
Excellent verbal and written communication skills.
Ability to partner across the company and with executive leadership.
Strong presentation and delivery skills.
Ability to take initiative and solve business problems.
Adept at handling multiple competing priorities and duties in a fast-paced, results-driven, rapidly changing environment - with minimal daily oversight.
This position is based in our Parsippany, NJ corporate headquarters which currently operates on a hybrid in-office schedule. Though employees are welcome to work in our office on Friday, this position must be performed in-office on Monday through Thursday, with the option to work remotely from the employee's home office on Friday

Experience with case management systems like Neocase, ServiceNow, Salesforce HR, or Oracle products.

Proficiency in MS Office or Google products.
Ability to manage a fluctuating workload.

Base salary and/or rate of pay ranges listed are exclusive of fringe benefits and potential bonuses. Individual compensation offers will be determined based on a variety of factors, including but not limited to geographic location, relevant candidate experience and skill, education, and/or qualifications.
Base Salary Range: $84,000-$115,500
