The School of Pharmacy has outstanding opportunities for two Finance Operations Specialists to join their team.

Reporting to the Director of Finance, the Finance and Operations Specialist serves as one of two positions in the Dean's office providing non-sponsored funding budget management and financial analysis as well as Workday expertise.
DUTIES AND RESPONSIBILITIES Budget Management and Analysis - (60%)
Conduct monthly review and reconciliation of non-sponsored budgets. Update budget spreadsheets for actual expenses and projections. Monitor expenditures for allowability, appropriateness, initiate cost transfers. Ensure budgets are maintained in accordance with best practices at all levels.
Support effort accounting for faculty and staff on non-sponsored funds, including charges to internal budgets and shared projects with external departments
Manage Service Agreements
Create monthly reports for non sponsored funds
Responsible for sending/receiving contract invoices. Manages invoice payments/collections
Serve as an advice point for faculty and staff colleagues, recommending purchasing solutions and providing best practice advice.
Keep up-to-date on University financial policies and procedures, and Dean's Office protocols.
Working with the Graduate Program staff, disburse student scholarships and awards.
Ensure compliance across several key business processes.
Ensure compliance with international, federal, state, and city regulations.
Navigate specific issues at the UW as related to Accounts Payable, Purchasing, Student Fiscal Services and Financial Accounting. Serve as a subject matter expert on business processes and Workday-Finance (40%)
Develop strong working knowledge of Workday to optimize financial processes and reporting.
Support purchasing, travel and reimbursements in the Shared Environment.
Establish best practices and disseminate them across the school
Identify and recommend process improvements.
Work with central offices to resolve difficult questions
Other duties as assigned MINIMUM REQUIREMENTS
Bachelor's degree in Business Administration, Public Administration, Finance, or a related field; equivalent experience may substitute for a degree requirement.
Minimum of three years of experience in financial management, budgeting, and compliance in a complex organizational setting. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration ADDITIONAL REQUIREMENTS - Demonstrated experience processing financial transactions within enterprise systems, with high attention to accuracy and detail.- Proven ability to work collaboratively across departments and with diverse teams in a large, multi-faceted organization.- Strong analytical and problem-solving skills, with experience resolving complex finance-related inquiries and ensuring compliance with institutional policies.- Excellent written and verbal communication skills, with the ability to communicate financial information clearly to both technical and non-technical audiences.- Experience supporting internal or external audits and resolving compliance issues.- Proven ability to manage multiple competing priorities and perform effectively during high-volume or deadline-driven periods.- Demonstrated commitment to fostering a diverse, inclusive, and respectful workplace aligned with the School of Pharmacy's mission and values. DESIRED QUALIFICATIONS - At least three years of financial or budget management experience in higher education, nonprofit, or government agencies with complex funding models.- Working knowledge of University of Washington financial systems and policies.- Demonstrated expertise in using Workday Finance, including holding multiple security roles (e.g., Cost Center Manager, Procurement roles).- Prior experience supporting non-sponsored budgets, including internal recharge centers or self-sustaining operations.- Familiarity with financial forecasting, modeling, and strategic planning in an academic or research setting.- Willingness and ability to quickly learn new financial systems, tools, and workflows in response to institutional or regulatory changes.
