The Administrative Assistant is responsible for providing administrative support to department leaders in a fast-paced manufacturing environment. This position works closely with Maintenance, Health, Safety, Environmental (HSE), Operations, Human Resources, Finance, and/or Technical department team members to provide administrative duties, working independently and proactively on administrative tasks, exercising utmost discretion, independent and sound judgment on a consistent basis. The candidate will participate as an integral team member and will be a key contributor to the organization from a support capacity.
Responsibilities May Include:
Coordinating all office and administrative support duties including answering the telephone and directing calls to others as appropriate, arranging logistics for visitors, processing expense reports, invoice processing and coding, preparing, coordinating and making travel arrangements, records management, and other administrative needs
Managing calendars and schedules so leader's time is used effectively and efficiently
Maintaining various distribution lists
Submitting work orders and IT service tickets
Maintaining and ordering office and printer supplies
Coordinating and facilitating event planning for special events, lunches, dinners, and meetings
Understanding and ensuring compliance with corporate policies such as travel, expense, and document management retention, as well as other applicable processes policies and procedures
Support the Maintenance work process and budget cost control through various tasks and activities
Ensure work orders, requisitions and purchase orders are coded to appropriate cost categories consistent with corporate guidance
Compile data, build, maintain, and distribute various reports, including regulatory compliance reporting
Support the development and updating of annual budget and control tools
Working collaboratively with other administrative assistants on the team for back-up support
Ability to maintain confidential information and manage legal hold orders
Completing other administrative tasks and duties as assigned by the team and supervisor
Assisting with special projects
Required Qualifications:
Legally authorized to work in the job posting country
High School Diploma or GED equivalent
Valid Drivers License
2 or more years of experience in administrative support or equivalent role
Intermediate proficiency level with Microsoft Word and Outlook applications (performing the skill with limited assistance) with emphasis in Excel and PowerPoint applications
Willing and able to obtain a Transportation Worker Identification Card (TWIC); information can be found at https://www.tsa.gov/twic
Preferred Qualifications:
3 or more years of experience in administrative support or equivalent role
Experience in SAP
Experience in Tableau or Power BI visualization software
Proven written and verbal communications, and interpersonal skills
Strong organization skills and independently capable of setting and sorting out priorities
Ability to work well under pressure and changing priorities
High energy with a strong can-do attitude and proactive in taking the extra steps to provide support and accomplish work.
The Bayway Refinery is located on the New York Harbor in Linden, New Jersey. Bayway's facilities include crude distilling, naphtha reforming, fluid catalytic cracking, solvent deasphalting, hydrodesulfurization and alkylation units. The complex also includes a polypropylene plant with the capacity to produce up to 775 million pounds per year. The refinery processes mainly light and medium, low-sulfur crude oil. Foreign crude oil is supplied to the refinery by tanker, and domestic crude oil is supplied through a combination of rail and marine transportation. The refinery produces a high percentage of transportation fuels, as well as petrochemical feedstocks, residual fuel oil and home heating oil. Refined products are distributed to East Coast customers by pipeline, barge, rail car and truck.

The base pay range for this role is $61,300 to $86,900 depending on a candidate's relevant work experience and education.
