About the Organization:

Our client is a well-established commercial real estate firm based in La Jolla, CA, with a strong reputation for managing a diverse portfolio of office, retail, and mixed-use properties throughout the region. They are currently seeking a detail-oriented and proactive Administrative Assistant to support their property management team and help ensure smooth day-to-day operations.

Position Overview:

The Administrative Assistant will play a key role in supporting Property Managers with administrative tasks, tenant communication, and operational coordination. This is an excellent opportunity for someone with a strong administrative background and interest in commercial real estate.

Key Responsibilities:

Provide administrative support to property management team, including scheduling, document preparation, and data entry

Assist with tenant communication and follow-ups regarding maintenance, notices, and inquiries

Prepare and maintain lease files, vendor contracts, and property-related documentation

Help process invoices, track expenses, and assist with budget documentation

Coordinate property inspections, vendor visits, and maintenance requests

Manage and update internal databases and property management systems

Support special projects and reporting needs as assigned by the property management team

Maintain confidentiality and professionalism in handling tenant and property information

Requirements

Qualifications:

2+ years of administrative experience, preferably in property management or commercial real estate

Strong organizational skills and attention to detail

Excellent verbal and written communication skills

Proficient in Microsoft Office Suite (Word, Excel, Outlook); experience with Yardi, MRI, or similar software is a plus

Ability to multitask and prioritize in a fast-paced environment

Professional, team-oriented, and customer-service focused
