Description

We are looking for a meticulous Administrative Assistant to provide comprehensive support for departmental operations in Portland, Maine. This is a Contract position requiring strong organizational skills and the ability to multitask effectively in a fast-paced environment. The ideal candidate will excel in customer service, project coordination, and administrative tasks, ensuring smooth day-to-day operations.

Responsibilities:

Deliver administrative support to department leadership by coordinating meetings, tracking expenses, and managing office supplies and equipment.

Maintain a courteous demeanor while addressing the needs of internal and external customers.

Assist with project-related tasks, including data collection, reporting, and conducting basic analyses.

Prioritize and manage a variety of assignments across multiple projects, meeting deadlines and maintaining quality.

Handle inbound and outbound communication, providing prompt and accurate responses to inquiries.

Maintain accurate records through data entry and email correspondence, ensuring information is up-to-date and accessible.

Requirements - Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.

Strong communication skills, both verbal and written, with experience in email correspondence.

Demonstrated ability to manage schedules and appointments effectively.

Experience in answering inbound calls and providing exceptional customer service.

Attention to detail and accuracy in data entry and record-keeping.

Ability to prioritize tasks and manage multiple projects simultaneously.
