Job Title: Administrative AssistantJob Description

We are seeking a dedicated Administrative Assistant to join our team. This role requires an individual who can efficiently manage data entry, document tracking, and communication tasks. While QuickBooks experience is a plus, it is not required. The ideal candidate will have at least one year of office experience, preferably in the construction industry, and possess strong organizational skills.

Responsibilities

Enter data from facility management into QuickBooks.

Generate, customize, oversee, and monitor invoices using QuickBooks.

Assist in documenting and tracking invoice submittal statuses using multiple online platforms.

Maintain and organize multiple hard copy files, ensuring proper statuses are used.

File documents throughout the day.

Follow up on multiple tasks to ensure completion.

Understand and meet deadlines consistently.

Arrange electronic files for easy access and retrieval.

Address and respond promptly to inquiries from various clients.

Communicate effectively in a team environment.

Take notes during meetings and training sessions for future reference.

Essential Skills

Customer service skills.

Computer savvy with proficiency in Microsoft Suite.

Strong organizational and filing skills.

Microsoft Office proficiency, including Word, Excel, and Outlook.

At least one year of office experience, preferably in the construction industry.

Administrative support and clerical skills.

Additional Skills & Qualifications

Experience in an administrative role, preferably in the construction industry.

Recent high school, college, or vocational school education.

Work Environment

The work environment is dynamic and team-oriented, requiring effective communication and collaboration. The role involves using various technologies, including QuickBooks and Microsoft Office Suite, to manage tasks efficiently. Dress code is business casual, and the position demands adherence to deadlines and the ability to handle multiple tasks simultaneously.

Pay and Benefits

The pay range for this position is $20.00 - $25.00/hr.
