Blue Cross and Blue Shield of Kansas is looking to add to our Facilities team and has a new opportunity for a Facilities Operations Planning Coordinator. This position serves as the central administrative contact for a wide range of departments, including maintenance, environmental services, office services, cafeteria operations, security, facilities projects, and real estate. This position involves managing schedules, correspondence, meetings, and day-to-day administrative tasks. Additionally, the Coordinator plans and executes events for the Facilities department and supports broader organizational event initiatives, ensuring seamless logistics and communication. Success in this position requires strong organizational skills, meticulous attention to detail, and exceptional communication abilities. What youll do

Provide comprehensive administrative support to all Facilities

departments, including drafting reports, preparing meeting agendas, taking minutes, and managing correspondence.

Serve as the primary liaison between Facilities teams and field

offices, ensuring timely and accurate communication by maintaining up-to-date distribution lists.

Coordinate travel and accommodation logistics for Facilities staff.

Manage calendars and scheduling for the Facilities leadership team,

supporting departmental coordination.

Act as the main point of contact for all internal and external

communications related to Facilities operations.

Create and distribute communications tailored to varied audiences,

ensuring clarity and consistency.

Maintain strong working relationships with service providers and

internal stakeholders.

Support the evaluation and implementation of office space management

software and oversee the day-to-day administrative processes.

Assist project management teams in collaboration with other

Divisions by organizing tasks, monitoring deadlines, and communicating with contractors.

Lead end-to-end planning and execution of events for the Facilities

department, including venue selection, catering, travel logistics, and scheduling.

Collaborate with internal teams and external vendors to ensure

successful event delivery and alignment with expectations. Source, negotiate, and manage event contracts ensuring quality and accuracy.

Source, negotiate, and manage vendor contracts related to events.

Partner with Human Resources and Administrative Services to assist

in planning enterprise events and celebrations, including field office event support.

Oversee event setup, day-of operations, and post-event teardown.

Conduct post-event reviews and prepare reports to assess performance

and identify improvement opportunities.
