Position Title: Administrative Assistant Date: May 30, 2025 Location: San Juan, PR Company: Popular Bank Job TypeFull Time Non-ExemptWork ScheduleMonday to Friday from 8:00 a.m. to 5:00 p.m.General DescriptionAnalyzes and controls administrative process to facilitate and simplify operations and verifies compliance with established procedures to achieve the Administration unit results.Essential Duties and ResponsibilitiesProvide general administrative support including mailing, scanning, faxing, and copying to management.Compiles data, and @types statistical reports, presentations and proposals.Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records minutes of meetings.Gives support to assure the compliance of established objectives, plans, and procedures.Gives orientation to clients about unit services.Performs administrative tasks (i.e. request reimbursements, payments) representing the company.Creates and maintains databases and spreadsheet files.Arranges complex and detailed itineraries and compiles documents for meetings.In some cases, negotiate with vendors, government agencies, external consultants about availability, time, service due date, and service charge (within an authorized margin of discretion).Maintain office supplies for the department.Supervisory Responsibilities: This job has no supervisory responsibilities.EducationCompletion of at least 60 credits approved from a university or Accredited Institution or equivalent combination of education and experience.ExperienceAt least two (2) years of administrative tasks and customer service.Other QualificationsExcellent communication skills in both English and Spanish, both oral and written is a must have.Knowledge of MS Office 365 applications such as Outlook, Excel, Word, Teams, SharePoint and Power Point are a must have.Ability to set priorities, simultaneously handle multiple tasks and meet established deadlines.Ability to identify problems, analyze their causes and resolve them in a timely and accurate manner.Ability to work with minimal supervision and delivery dates.Ability to adapt to changes.Focused on achieving results through collaboration and teamwork.Skills to develop and maintain good relationships with clients, anticipate their needs, present alternatives to solve situations and provide follow-up to agreements reached.ValuesPassion for PeopleSucceed TogetherOwn Every MomentBuild the FutureImportant: The candidate must provide evidence of academic preparation or courses related to the job posting, if necessary.ABOUT USPopular is Puerto Rico’s leading financial institution and have been evolving since it was founded over a century ago.
