Bookkeeper and Administrative Assistant

Job Description

As a Bookkeeper/Office Assistant, you will be responsible for financial record-keeping and administrative tasks. Your role will encompass managing accounts payable, preparing financial reports and journals, and handling general office operations, including data entry, filing, customer service, front desk duties, and ordering supplies.

Responsibilities

Balance checking accounts.

Record and maintain financial transactions, including purchases, expenses, sales, invoices, and payments.

Enter data into general ledgers.

Reconcile bank statements and accounts.

Prepare financial reports and journals for the Accountant, such as monthly reports and statements for the executive team.

Process payments from customers and write checks for vendors.

Print payables list and identify payments that need to be made.

Assist in processing payroll using ADP.

Track vendor invoices and match payments to the ERP system (M1/ECI).

Handle administrative duties such as data entry, filing, email correspondence, phone calls, and office supply management.

Oversee daily office operations and ensure efficient workflow.

Maintain and update filing, inventory, mailing, and database systems.

Ensure the office is safe, secure, and well-maintained.

Assist with onboarding, benefits administration, and payroll processing.

Maintain personnel records and help with insurance or workman's compensation claims.

Qualifications:

2-3 years of experience in an accounting capacity (clerk, AP, AR, bookkeeping, etc.).

Experience with general ledger/journal entries.

Experience working in a manufacturing environment.

Systems experience related to QuickBooks, ERP, MRP, or CRM.

Strong understanding of accounting principles and bookkeeping practices.

Proficiency with Microsoft Office Suite and any accounting or ERP software.

Effective written and verbal communication skills.

High attention to detail and accuracy in data entry.

Preferred Qualifications:

Payroll experience using ADP.

Experience assisting with month-end processes.

Experience using ERP systems, specifically M1/ECI.

Work Environment

This position is 100% onsite, Monday to Friday from 7:00 AM to 3:30 PM.

Pay and Benefits

The pay range for this position is $23.00 - $27.00/hr.
