We are seeking an Administrative Assistant to join our team. Earn: $19.00/hour. Position Details: This is a clerical position which requires clerical work, computer skills, knowledge of general job-related office duties. The position requires the ability to effectively communicate with all relevant staff. Work is performed under the direction of the Administrator. Responsibilities/Skills Include: Analyzes and organizes office operations, filing systems, requisition of supplies, meeting minutes and other clerical services. Payroll liaison Ability to handle confidential information with discretion and diplomacy Ability to maintain a professional demeanor and appearance to reflect proper image for Merakey and the board members, medical staff, community leaders and fellow employees. Good organization and communication skills Nursing/agency staff scheduler. Maintains and approves vacation, personal time for staff nurses under department guidelines. Maintains medical charts in compliance with regulatory standards. Daily copying and filing of all medical appointments after reviews. Schedule appointments for residents and coordinate with Program Lead and resolve scheduling issues Maintains original insurance cards and ensures copies are available for all medical appointments and copies are sent to providers with each visit. Develop and maintain appointment tracking for all appointments using EXCEL/AVATAR. Create forms as needed Schedule in house clinics and x-rays. Assist consultant as needed. Short procedure and Dental coordinator including making appointments, coordinating clearances for surgery, send out consents, tracking consents and distributing specialized pre-admissions instructions. Report to nursing management daily on appointments kept, missed and packets returned. Maintain list of outstanding reports/results/labs and call until received Copying and distribution of all appointment paperwork Notifying parents of appointments as requested Obtain needed referrals for appointments Monthly meetings with nursing management and involved teams to review outstanding appointment issues, compliance with documentation of next steps for resolution. Duties as assigned.
