Description

We are seeking a detail-oriented and compassionate Medical Administrative Assistant to join our healthcare team. The ideal candidate will be responsible for managing administrative functions in a fast-paced medical facility, ensuring smooth operations, and supporting both healthcare providers and patients. This role requires a high level of organization, communication skills, and proficiency in medical office practices.

Key Responsibilities:

Greet patients and visitors in a professional and courteous manner, ensuring a positive office experience.

Schedule and coordinate patient appointments, including follow-ups and rescheduling, using electronic medical records (EMR) systems such as Cerner or Epic

Maintain and update accurate patient records, adhering to HIPAA regulations and confidentiality protocols.

Handle insurance verification, billing, and collections processes; support medical billing and coding teams as necessary

Answer phone calls, direct inquiries to the appropriate staff, and relay messages promptly.

Prepare and organize documents, charts, and reports for healthcare providers and ensure these are accessible as needed.

Assist in onboarding new patients by processing intake forms and collecting required documentation.

Monitor inventory levels of office supplies and coordinate orders to ensure uninterrupted workflow.

Provide administrative support for medical staff in a variety of settings, such as preparing meeting agendas or assisting with correspondence.

Serve as a liaison between patients, healthcare providers, insurance companies, and other third parties as needed.

Requirements

Required Skills and Qualifications:

High school diploma or equivalent (e.g., GED); additional certification in medical administration is preferred.

Proficiency in using electronic medical record systems such as Cerner and Epic

Familiarity with medical billing, coding, and insurance processes.

Strong communication and interpersonal skills with a patient-centered approach.

Exceptional organizational skills and the ability to prioritize tasks effectively in a fast-paced environment.

Attention to detail and accuracy in managing records and data entry.

Proficiency in basic office software, e.g., Microsoft Office (Word, Excel).

Knowledge of HIPAA compliance and healthcare office procedures.

Work Environment:

Office-based position within a healthcare setting

Occasional need to assist patients in navigating the facility or resolving administrative inquiries.
