Description Working closely with the Office Administrator, the Administrative Assistant performs advanced administrative duties requiring considerable skills and in-depth knowledge of organizational policies, practices, and procedures.

Responsible for calendar and time/people management for executives.

Fulfill catering requests for department meetings and events.

Organize internal and external meetings, prepare meeting materials and agendas, reserve conference rooms, and coordinate audio/visual and technology equipment.

Arrange travel plans, hotel accommodations, and itineraries for office staff. Assist the Training team with non-program-related travel arrangements.

Create expense reports, memos, correspondence, reports, and other necessary documents as required.

Perform clerical duties such as filing, photocopying, data entry, proofreading, updating Excel file trackers, routing documents, and shipping packages.

Prepare workstations and office supplies for new hires. Clean workstations and remove office supplies of separated employees.

Provide backup support for the Administrative team.

Perform other position-related duties as assigned.

This position will be performed in an office setting in usual office working conditions and typically exposed to office noises and interruptions. While performing the duties of this position, the individual is regularly required to sit; use hands to grip, handle, and feel objects or controls; reach with hands and arms; and talk or hear. The individual is occasionally required to stand and walk. The individual may lift and/or move up to 10 pounds. Specific vision abilities required by this position include close vision, distance vision, depth perception, and ability to adjust focus.

Four years or more of administrative experience supporting personnel in a corporate setting

Proven proficiency in Microsoft Office products to include Word, Excel, PowerPoint, Outlook, and Teams

Demonstrated a thorough understanding of organizational priorities

Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail

Strong interpersonal skills and the ability to build relationships with various stakeholders

High level of verbal and written communication skills

Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response

Highly resourceful team player with the ability to be extremely effective independently

Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment

Forward-looking thinker who actively seeks opportunities and proposes solutions with strong decision-making capability

Pleasant and professional demeanor
