Position Summary:
Florida Atlantic University is seeking an Academic Advising Administrative Assistant - Boca Raton, FL.
Summary of Responsibilities:
Manages the reception area in Student Academic Services, including greeting and assisting students, appointment scheduling and coordination, and accurate maintenance of student records (paper and electronic). Handles a high volume of traffic (in person and via telephone) with friendly, courteous, and professional demeanor.
Handles and directs inquiries from other constituents within the College and from other areas within the University.
Provide administrative support to approximately 10 professional advisors on the Boca Raton and Davie campuses. Manages the shared point drive for advisors and students as a resource and management tool. Oversees sending out communication regarding registration and withdrawal deadlines to all students in the college on behalf of the advising office.
Assists with generation of data requests, reports, and other related functions using specific online tools (Crystal Reports, Institutional Effectiveness dashboard, WebFocus, etc.).
Provides preliminary review of student records with regard to graduation requirements and status with specific tasks outlined by the Director. Process Applications for degrees for every term in preparation for advisors to review.
Responsible for updates to and maintenance of departmental website using official content management system; in addition, increases office presence and branding/marketing using social media platforms.
Compiles and evaluates the SAS college petitions for committee review. Provides logistical support to SAS-led events and programs that foster registration and enrollment, such as the registration station during peak advising.
Assists the Director with tasks such as purchase orders, travel authorizations, reimbursements, and check requests. Orders office supplies, handles incoming and outgoing mail, and distributes various reports as needed.
Responsible for managing the creation of program promotion documents and activities for the Director and advisors for recruitment programs such as Discover FAU - Academic College Showcase and Broward & Palm Beach County academic recruitment fairs.
Provides supplemental assistance to the College Dean's office with functions related to purchasing, timekeeping, and payments as needed.
Provides periodic assistance with backup coverage for the Davie campus office, including phone calls and maintenance of electronic records, including documents on a departmental shared drive and Google Drive spreadsheets.
Performs other job-related duties as assigned.
