About The Division
Join the Enforcement division as an Administrative Assistant! Work involves disseminating information, maintains filing systems, and performs internal administrative support work. This job is a position of public trust and requires a high degree of confidentiality and professionalism in handling taxpayer and employee records.
Monday through Friday, 40 hours a week with occasional evening, weekend hours and holidays. Hours may change based on business need.
This position may be eligible for a flexible/hybrid work schedule of 3 in office days and 2 remote work days if certain conditions are met. Work schedules may change at any time as business necessitates.
Austin Call Center office is located at 2015 S. IH35, Suite 300, Austin, TX 78702.
Qualifications: Minimum Qualifications
Graduation from an accredited high school or successful completion of the General Educational Development test (GED).
2 years of experience performing clerical office and/or administrative support work.
2 years of experience using Microsoft Word and Excel.
2 years of experience using a multi-line telephone.
Qualified Work Experience: Past workforce history or Career and Technical Education (CTE) experience or Career Pathway Program Experience.
Preferred Qualifications
Experience writing, reading, and speaking effectively in both English and Spanish.
Substitutions
Thirty semester hours from an accredited college or university. College credit may substitute for one year of the administrative support or clerical work experience requirement on a year-for-year basis with a maximum substitution of two years.
Complete copies of college transcripts must be furnished to the divisional hiring representative at the time of the interview for positions requiring a college degree and/or specific education credits.
Licenses and Certifications
A valid Texas (or state of residency) drivers license and a satisfactory driving record are a condition of employment. Applicants offered an interview must present the following documents at or before the interview: A state issued driving record for the last 36 months; valid Texas drivers license (or state of residency drivers license); and current proof of automobile insurance.
SUMMARY OF PHYSICAL REQUIREMENTS
Employees are required to use their personal mobile phones as a part of 2 factor/multi factor authentication for accessing CPA systems securely. You will also receive critical/emergency calls/texts on your cell phone to ensure immediate communication.
In this role you will:
Answers a multi-line telephone to route calls, provide information or take and distribute messages in a timely and accurate manner.
Assists management, other administrative support, and Enforcement Headquarters personnel.
Receives, distributes, and date stamps incoming mail and maintains mail logs.
Prepares and distributes correspondence and monthly reports.
Reviews and updates files.
Establishes and maintains a filing system.
Verifies, reconciles, and distributes leave time information, when necessary.
Assists staff with travel arrangements and verifies travel vouchers prior to submission.
Conducts new hire orientation for employees regarding call center practices and agency and division policies and procedures.
Monitors inventory and orders supplies, and updated forms as needed.
Develops, coordinates, and maintains the offices records retention schedule and filing system.
Maintains office equipment and makes repair requests.
Assists in planning special meetings and transcribing minutes as needed.
May participate in special projects.
Attends mandatory training in local office or out of town, when necessary.
Performs other work-related duties as assigned.
