CHMC-Mental Health-Administrative Assistant - Full Time-Day Shift-7:30a-4p- Req 8629

Pay Range $22.11-$28.74*

We are seeking a proactive, detail-oriented Mental Health Administrative Assistant to support our team in delivering exceptional mental health services. The ideal candidate will be organized, innovative, and professional, with a strong grasp of administrative duties and a commitment to confidentiality. This role is essential to ensuring efficient office operations and seamless communication both within and outside the organization.

Key Responsibilities:

Maintain and update spreadsheets using Microsoft Excel/Google Sheets; track data and compile reports as needed.

Schedule meetings, manage multiple calendars, and send timely reminders.

Attend meetings and accurately record minutes; distribute summaries and action items.

Maintain confidentiality and discretion while handling employee files and sensitive information.

Serve as the first point of contact for external communications; respond and communicate with professionalism and clarity.

Anticipate administrative needs and propose process improvements that enhance efficiency.

Coordinate with internal departments and outside agencies to ensure smooth workflow.

Assist in organizing internal events, trainings, and staff communications.

Perform general office tasks including filing, scanning, and document preparation.

Qualifications:

Proficiency in Microsoft Excel and other spreadsheet tools is required.

High school diploma or equivalent required; associate's or bachelor's degree in business administration, healthcare, or related field preferred.

Minimum 2 years of administrative experience, preferably in a healthcare or mental health setting.

Exceptional attention to detail and organizational skills.

Strong verbal and written communication skills; able to interact with diverse stakeholders in a professional manner.

Demonstrated ability to think critically, solve problems independently, and adapt to changing priorities.

Upholds discretion and maintains confidentiality at all times.

Positive, upbeat demeanor with a team-oriented mindset.

Comfortable suggesting and implementing innovative ideas for improving administrative processes.

*The listed base pay range is a good faith representation of current potential base pay for successful applicants. It may be modified in the future. Pay is determined by factors including experience, relevant qualifications, specialty, internal equity, location, and contracts.
