Job Title: Administrative AssistantJob Description

We are seeking an Administrative Assistant to provide essential support in various office tasks. This role involves data entry, processing sales orders, reviewing freight invoices, and handling customer communications. The ideal candidate will assist with general office duties, including ordering supplies and maintaining office organization.

Responsibilities

Enter data into the system accurately and efficiently.

Process approximately 40 sales orders per day into customer invoices.

Review freight invoices for accuracy and completeness.

Answer incoming calls during the receptionist's lunch break.

Email customer invoices after review and approval.

Adapt to evolving responsibilities as the company transitions to new software.

Serve as backup receptionist during vacations, performing all receptionist duties.

Assist with general office tasks as needed throughout the year.

Order office supplies and ensure everything is stocked.

Empty the dishwasher as needed.

Answer and screen phone calls.

Essential Skills

5+ years of administrative experience.

Experience with invoicing.

Basic proficiency in Excel.

Strong computer proficiency.

Experience in front desk operations, clerical tasks, and administrative assistance.

Additional Skills & Qualifications

A self-starter with a proactive, 'go-getter' attitude.

Strong attention to detail and organizational skills.

Comfortable with multitasking and shifting priorities in a dynamic office environment.

Work Environment

This position requires 100% in-office attendance, with no opportunity for remote work. The office environment is pleasant, with a desk located at the front of the office. Working hours are flexible, with 8-hour shifts between 7 am and 5 pm, adjustable to meet candidate needs. Pay and Benefits

The pay range for this position is $20.00 - $25.00/hr.
