Accounts Payable Specialist

Description We are looking for a detail-oriented Accounts Payable Specialist to join our team in Santa Clara, California. This is a Contract-to-permanent position, offering an excellent opportunity to contribute to both accounts payable and front office administrative functions within a dynamic signage company. The ideal candidate will have experience in construction office environments and possess strong organizational and multitasking skills.

Responsibilities:

Oversee the full accounts payable process, including invoice coding, approval management, and preparation of payments.

Process vendor payments through checks, credit cards, and other payment systems, ensuring accurate daily updates.

Reconcile monthly statements for payment systems to maintain financial accuracy.

Manage employee expense reports, ensuring proper approvals and timely processing.

Enter vendor purchase orders into the ShopVox system with precision.

Order and maintain office supplies, ensuring inventory is adequately stocked.

Handle the maintenance of office equipment such as copiers, postage meters, and coffee machines.

Coordinate daily outgoing mail and shipments, including FedEx and other couriers.

Assist employees with various administrative tasks as needed to support operations.

Distribute work orders to fabrication departments and manage customer contracts, including approvals, signatures, and filing. Requirements - Proven experience in accounts payable processes, including invoice coding and payment preparation.

Familiarity with accounting software systems, including ERP platforms and Concur.

Knowledge of accrual accounting and financial services systems such as ADP.

Strong understanding of auditing practices and automated clearing house (ACH) transactions.

Ability to manage multiple tasks efficiently in a fast-paced environment.

Excellent organizational and communication skills.

Prior experience in a construction office setting is preferred.

Proficiency with tools such as ShopVox and other office management systems is a plus.
