Administrative Assistant

Description We are looking for an organized and detail-oriented Administrative Assistant to join our team on a long-term contract basis. Based in Traverse City, Michigan, this role involves providing high-level administrative and clerical support to ensure smooth day-to-day operations within the real estate and facilities management industry. The ideal candidate will handle a variety of tasks, from coordinating schedules to preparing reports, while maintaining confidentiality and professionalism.

Responsibilities:

Manage and organize schedules, meetings, and conference calls, including making travel arrangements as needed.

Perform complex clerical tasks such as compiling, analyzing, and researching information for reports and presentations.

Assist in budgeting activities and create detailed tracking spreadsheets for various projects.

Support the implementation of property-related activities and events, both internal and external.

Improve workflow efficiency by studying management methods and recommending process enhancements.

Provide administrative support for accounting tasks, specialty leasing, or marketing activities when required.

Handle incoming mail by reading, sorting, and forwarding it appropriately, or preparing relevant information for recipients.

Oversee office services such as maintenance requests, supply replenishment, and file organization.

Maintain and distribute activity and event schedules, ensuring all stakeholders are informed.

Manage and update insurance certificates for tenants and vendors, ensuring compliance with policies. Requirements - Proven experience in administrative support, preferably within real estate or facilities management.

Strong organizational skills with the ability to manage multiple tasks simultaneously.

Proficiency in using office software, including spreadsheets, word processing, and presentation tools.

Excellent communication skills, both written and verbal, with an attentive and courteous phone manner.

Ability to handle confidential information with discretion and integrity.

Experience with scheduling, coordinating appointments, and managing calendars.

Familiarity with budgeting processes and creating detailed reports.

Problem-solving skills and the ability to recommend improvements to workflows and procedures. TalentMatch®
