Job Details:
SUMMARY**
The Administrative Assistant II position is responsible for performing a
variety of administrative duties to ensure smooth and efficient
operations.
Key Responsibilities
Document Preparation: Typing correspondence, memos, and other
documents; handling confidential material.
Data Management: Data entry; assembling PowerPoint
presentations.
Telephone Handling: Answering a multiple-line telephone,
handling routine inquiries or requests, directing calls, or taking
messages.
Visitor Management: Greeting and directing visitors.
Mail and Shipment Coordination: Sorting and distributing mail
and faxes; preparing UPS and Federal Express shipments.
Office Maintenance: Photocopying; maintaining general and
confidential files.
Reporting and Scheduling: Compiling data and generating reports;
scheduling meetings and preparing minutes; coordinating annual sales
meetings.
Information Assembly: Assembling information and organizing
booklets from quarterly and annual sales meetings.
Travel and Training Coordination: Coordinating travel
reservations and training.
Expense Management: Working with expense reports.
Supply Ordering: Ordering supplies.
Special Projects: Any other duties or special projects as
assigned.
REQUIREMENTS
Education: High School diploma or equivalent.
Experience: 2 plus years of relevant experience. Experience with SAP
and Time and Attendance Preferred.
Computer Skills: Standard computer skills; Microsoft Office emphasis
on Outlook Access Excel and PowerPoint.
Communication Skills: Good written and verbal communication skills.
Special Skills: Work activities are variable and require judgment to
complete tasks such as setting priorities evaluating results and
coordinating with others; assignments are defined and the approach to be
taken is usually determined in coordination with others.
