Description

We are seeking a highly organized and detail-oriented Administrative Assistant to provide exceptional support to our team. The Administrative Assistant will play a critical role in ensuring the smooth operation of daily administrative activities by managing schedules, coordinating meetings, handling correspondence, and maintaining accurate records. Successful candidates will have strong communication skills, the ability to multitask effectively, and a proactive approach to problem-solving.

Key Responsibilities:

Administrative Support: Serve as the first point of contact for inquiries, screen phone calls, manage correspondence (emails, letters, memos), and ensure prompt responses to messages.

Calendar Management: Organize and maintain schedules, including setting up meetings, appointments, conference calls, and travel arrangements.

Document Preparation and File Management: Create, edit, and proofread documents such as reports, presentations, and spreadsheets, while maintaining digital and hard copy filing systems.

Event Coordination: Assist with planning and organizing team meetings, company events, and special projects, ensuring all logistical details are taken care of.

Data Entry and Record Keeping: Accurately input and update data into company systems, maintain project records, and ensure confidentiality of sensitive information.

Expense Management: Process and track expense reports, purchase orders, and invoices as needed.

Office Coordination: Manage office supplies inventory, place orders, and ensure team members have the tools they need to perform their roles efficiently.

Collaboration: Liaise with internal teams and external vendors or partners to coordinate workflows and facilitate communication.

Problem Solving: Anticipate team needs and provide proactive solutions to administrative challenges.

Requirements

Preferred Skills and Competencies:

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).

Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.

Excellent verbal and written communication skills.

Attention to detail and accuracy in all work.

Positive and professional demeanor with a customer-service mindset.

Ability to work both independently and collaboratively in a fast-paced environment.

Knowledge of office equipment (e.g., copiers, printers, scanners) and basic troubleshooting.
