Description

We are looking for an organized and detail-oriented Administrative Assistant to support a range of administrative tasks for construction projects. In this long-term contract role, you will play a key part in ensuring projects run smoothly by managing documentation, compliance, and communication.

Responsibilities:

Serve as the primary liaison between project management and superintendents to coordinate administrative tasks.

Track and manage owner change orders and subcontractor modification requests.

Handle the submission, processing, and distribution of project submittals.

Ensure compliance with owner-required administrative processes and maintain accurate records.

Log and distribute updated project plans and revisions as needed.

Verify subcontractor insurance compliance.

Coordinate the shipping of project plans and material samples when required.

Process requests for information and distribute project bulletins and notices.

Oversee closeout and archiving processes, including managing checklists, preparing closeout manuals, and reconciling project workbooks.

Scan, organize, and maintain all legal and project-related documents for accurate record-keeping.

Requirements - Strong proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.

Demonstrated expertise in handling inbound and outbound calls with professionalism.

Experience in scheduling appointments and maintaining calendars.

Excellent skills in data entry and email correspondence.

Ability to provide exceptional customer service in a fast-paced environment.

High attention to detail and strong organizational skills.

Familiarity with construction administrative processes is a plus.
